A charity in West London is seeking a dynamic individual to provide crucial support to their CEO and contribute to the smooth functioning of our governance structures.

This is an exciting opportunity to join a community charity. You should possess strong organizational skills, proactive initiative, and effective communication as a professional.

Proficient in maintaining both plans and team members on task and on schedule, you must excel in fostering collaborative working relationships and navigating successfully at senior management and Board levels.


Key Responsibilities:

  • Provide highquality administrative and executive support to the CEO, including efficient diary management.
  • Act as the main point of contact for all visitors to the CEO, ensuring interactions align with charity values.
  • Plan and coordinate CEO policy events, executive team meetings, Board and Committee meetings, AGM, and various other meetings.
  • Handle logístical and administrative aspects of meetings and Board events, from arranging premises to preparing and circulating agendas.
  • Oversee the preparation of Board and Committee meeting papers, ensuring timely dispatch to members.
  • Take accurate minutes of meetings as needed and ensure followup on agreed actions.
  • Provide administrative support for Trustee and staff recruitment and induction when required.
  • Support the CEO in maintaining an efficient office environment and contribute to the archiving process.
  • Contribute to making the team a highperforming unit in line with charity values.
  • Undertake any other duties as reasonably required.

Essential qualifications and skills:

  • Excellent skills across Microsoft Office including Outlook and PowerPoint
  • Excellent organisational skills and experience of arranging/ coordinating meetings and events
  • Significant experience of diary and correspondence management
  • Strong written communication skills necessary to draft letters, reports and other documentation
  • Excellent interpersonal skills and confident approach in dealing with a wide range of colleagues, customers and authorities
  • Ability to work off own initiative and with little intervention or instruction
  • Methodical approach and strong attention to detail
  • Able to plan, prioritise and deliver to tight timescales
  • Ability to handle matters of a confidential and sensitive nature with professionalism and discretion
