Description

Working as part of a friendly team based in Cardiff, you will provide secretarial and clerical support to all medical staff and manager's; where appropriate, liaising with medical staff/health board staff, service users, and other external contacts.


Client Details


The successful applicant will be based in Cardiff, with an opportunity to work on an initial temp basis with an opportunity for a permanent role.

You will be working, full-time, Monday to Friday, with a large NHS body.


Description

The key responsibilities of the Personal Assistant include:

  • Communicate effectively with all members of staff and actively participate in staff meetings.
  • Communicate and liaise effectively with directorates, divisions and stakeholders as directed and required on a range of complex and sensitive topics.
  • Display tact, diplomacy and confidentiality at all times.
  • Provide centralised telephone coverage for the unit, answering where practicable enquiries for staff, patients and external contacts.
  • Collaborate with staff in maintaining accurate databases, updating office operating procedures, inventories and documentation.
  • Assists with providing comprehensive training and supervision of clerical staff and new members of administrative staff within the department in all relevant areas
  • To work in a safe manner in accordance with the Health & Safety policies and procedures.
  • Using high level diary management skills, organise and maintain diaries; responsible for scheduling meetings and resolving potential conflicts with diary appointments and schedules.
  • Responsible for collating, sending out and filing all confidential
  • Responsible for reporting and keeping accurate, confidential records of patient details as required.

Profile

The successful Personal Assistant will have:

  • Knowledge and experience in a range of personal assistant and office responsibilities, including; non routine diary management, conference and event administration and high level secretarial support.
  • Be proactive in providing support in the event of an outbreak /emergency situation.
  • In depth knowledge of Microsoft Office suite.
  • Strong oral and written communication
