Description

The PCC of the Parish of Saint George Hanover Square with Saint Mark seek to appoint a Parish Administrator to run and oversee the day to day affairs of the Parish.


The role of Parish Administrator involves the following:

  • (S)he will work with the Parish Treasurer (currently the senior Churchwarden) on all aspects of Parish finance and will be responsible with him for the financial management and reporting of the PCC accounts as well as those of the St George's Hanover Square Foundation (the Foundation) and SGHS Enterprises Ltd (Enterprises). (S)he will serve as Company Secretary of Enterprises, Secretary of the PCC and the Parish Electoral Roll Officer.
- (S)he will also work with the other Churchwarden and Verger on fabric and governance-related matters.
- (S)he will manage the diary and events and publicise all activity at St George's.
- (S)he will manage the operational relationship between the Church and activity in the Undercroft as this gets underway later in 202- (S)he will have overall responsibility for the work and wellbeing of the Vestry team.


1. JOB DESCRIPTION

FINANCE

  • Contributing to the drafting and submission of an annual operating budget and its management once approved by the PCC.
  • Generating payroll data monthly for St George's and Grosvenor Chapel.
  • Contributing to the management of the annual audit of the three entities (PCC, Foundation and Enterprises).
  • Submitting annual Parish Returns to the Diocese and the Charity Commission and the annual Confirmation Statement to Companies House on behalf of Enterprises.

GOVERNANCE

  • As
    PCC Secretary, servicing meetings of the Council and its Finance and

Fabric Committees:
generating and circulating agendas and papers and minuting the meetings.

  • As
    Electoral Roll Officer, regularly updating the Roll, and renewing the Electoral Roll every six years.
  • Inducting new trustees into their roles and supporting trustees in complying with their statutory duties.
  • Maintaining up to date records of trustees on the Charity Commission website.
  • Managing triennial Visitations by the Archdeacon of London.
  • Collaboratively generating, maintaining and reviewing PCC policy documents, notably those relating to safeguarding, Human Resources, charitable reserves and data protection.
  • Maintaining a Risk Register and havingan awareness of the everchanging regulatory environment in which St George's operates.

DIARY & EVENTS

  • Jointly managing the online diary of activity in the Church, Vestry and Undercroft.
  • Negotiating and contracting promoters for approximately 30 evening and lunchtime concerts a year.
  • Management and promotion (with the Director of Music) of 26 lunchtime concerts in the Mayfair Organ Concerts series.
  • Managing the interaction of events in the Church with activity in the Undercroft.

PREMISES MANAGEMENT
Share responsibility for the care and maintenance of the fabric of a Grade I Listed Place of Worship.


OUTSIDE PROPERTY MANAGEMENT


St George's owns investment properties at Grosvenor Hill Court, Bourdon Street and flats in South Street, one occupied by the Verger.

The PCC currently retains a managing agent for the Grosvenor Hill Court properties and directly manages those in South Street.


PUBLICITY, COMMUNICATIONS & MARKETING
Managing the database.


The Administrator currently assists in the production and sending out of an electronic Weekly Bulletin, several publicity leaflets for display in the church and wider circulation as well as seasonal brochures.

(S)he also sends invitations for special services such as Baptism Renewal and Marriage Renewal Sunday services and prepares 1st and 2nd wedding anniversary cards to be sent by the Rector.


The Accounts Clerk currently prepares and displays a monthly service list, details of weekly Sunday services, fortnightly Mayfair Organ concerts as well as managing the church's website.

The Verger currently manages the church's various social media presences and publicises in-house events.


All this needs review and the Administrator will take charge of a redesign of the parish website, thereafter being responsible for keeping it up to date.

(S)he will also lead the parish's social media strategy and make a decisive contribution in increasing public awareness of all that happens at St George's.

This will involve working closely with the Vestry team already working in this area.


OFFICE MANAGEMENT


As the senior member of staff, the jobholder will bear overall responsibility for the work carried out by Vestry staff.

(S)he will ensure that adequate office supplies are maintained and work collaboratively with and in support of the other staff.

It is current policy that the door between Church and Vestry is kept open to facilitate the involvement of staff with those coming to the church.

This is an important element of the Church's mission and the jobholder will play a participative role in this kaleidoscopic process.
