The Meeting & Events Experience Coordinator oversees daily operations of meeting and events, ensuring a positive experience and high level of service for our clients.


Oversees daily operations of meetings and events, ensuring a positive experience and high level of service for our internal team and clients.

In this role you are responsible for all meeting rooms and event spaces across lower ground level, ground level, level 1, 5.01 training room, and level 7 and adhoc support across levels 2 to 6.


You will oversea all elements of event planning and managements and work alongside a team delivering services such as: moving, setting up and striking furniture, décor, removable walls and event equipment.


This individual works with the meeting and events team to guarantee world-class experiences for Host clients and other important stakeholders.


Essential Duties and Responsibilities

  • Liaising with team assigned to meeting, events & conference services including establishing work schedules, assigning
- tasks, cross-training staff and evaluating and developing performance.

  • You will be allocated events to look after individually from start to finish. There will be larger events where extra support will be required.
  • Regularly performs direct service delivery activities including room set up and strike, audio visual, etc.
  • Oversees events on the day of, including problemsolving, welcoming guests, coordinating and participating in event setup, communicating with staff, organizing vendors, supporting attendee/speaker requests and coordinating/participating in teardown.
  • Oversees operations of events from start to finish according to requirements. Identifies enhancements for event success.
  • Supports with cloakroom and badge table service on the night of events.
  • As a team that prides themselves in collaboration, there may come times of need where support will need to be given to the wider Host team.
  • Determine and prioritize staff workload and be prepared to make proactive decisions to meet daily business demands.
  • Allocate resources to maximize efficiencies and meet client needs.
  • Greet event hosts upon arrival, introduce service delivery teams to client, answer questions, ensure understanding of
- details of event between host and service delivery team and post-event reporting and reconciliation. May lead promotional activities for events.

  • Build strong relationships with key stakeholders within the business.
  • Participates and/or leads planning calls and represents the site. Ensures event operations and related aspects are compliant with building/facility/property safety, security and other requirements.
  • Ensures seamless event delivery by the catering operations team. Ensures smooth event operations and troubleshoots as needed.
  • Support bookers in their decision making of catering requirements, ensuring we meet their budget needs, collect the correct code, obtain the correct approval and entering all details into our system correctly to ensure the best delivery for our catering operations team.
  • Checks in with the team and client on the day of the event to ensure thorough communication; responsible for onsite logistics including managing vendors ensuring a certificate of insurance is on file, load in and setup is on time and in adherence to building/site policies and is a point of escalation should an issue arise.
  • Debrief on postevent reporting and reconciliation and suggest recommendations for continuous improvement and cost / process efficiencies.
  • Performs other duties as assigned.

  • Strong problemsolving skills. Highly adaptable and flexible. Ability to work independently with little supervision.
  • Good organizational skills. Must work well under pressure with multiple deadlines, and demonstrate a proactive approach to routine and nonroutine occurrences. Strong problemsolving skills. Highly adaptable and flexible.

Salary:
£30,000.00 per year
