Role purpose:


To provide administrative support to the Practice Principal to ensure that the relationships between all Advisers and their clients can be optimised, and assist with the daily operation of the office.


Key duties and responsibilities:


Support to Practice Management Team

  • Support the daytoday business operations within the Practice;
  • Provide administration support to the Partner/Advisers and Operations Director/Practice Manager as required.
  • Liaise with Clients and Third Parties in relation to the Partner's Practice;

Business Processing

  • Prepare portfolio valuations as requested;
  • Support the Partner/Advisers to ensure the endtoend business process is adhered to and tracked efficiently in line with Partner and regulatory standards;
  • Maintain accurate and uptodate client information;
  • Liaise with Head Office and admin centres as required.

Practice Development

  • Support the Partner/Advisers with and contribute to all relevant projects;
  • Support the Partner/Advisers in gaining new prospects and clients;
  • Support the Practice Principal achieve Practice goals and objectives;

Team responsibilities

  • Project a professional image in both appearance and attitude and provide quality support on time to agreed standards;
  • Attend and contribute to regular update meetings with the Partner/Practice Manager;
  • Maintain a good working relationship with colleagues, clients and third parties.
  • Maintain technical competence at an appropriate level to meet the requirements of the role

Specific authorities:

Key holder for our Aberdeen Practice office.


Special requirements:

Occasional travel to our Fraserburgh office.


Person specification:


Knowledge and experience:


  • Previous experience in an office support role, ideally in financial services or related sector;
  • Knowledge of relevant regulation and legislation (desirable);
  • Experience of setting up and maintaining systems, processes and procedures;
  • Comfortable with/experienced in using electronic (client) data systems;

Skills and behaviours:


  • Demonstrates a positive attitude at all times;
  • Excellent facetoface and telephone client interaction skills and ability to build rapport swiftly;
  • Excellent written communication skills;
  • Broad experience of Microsoft Office (Outlook, Word, PowerPoint, Excel);
  • Excellent organisation skills;
  • Excellent attention to detail;
  • Manages time effectively with the ability to multitask;
  • Keeps calm when faced with conflicting demands and handles these effectively;
  • Works well on own tasks as well as on shared goals as part of a team;
  • Open to change with a creative approach to problem solving.

Salary:
£22,000.00-£27,500.00 per year
