Overview of Responsibilities:


Who are we looking for?
The role is to provide project aid to all projects within the campus development portfolio of works.

They are to facilitate the provision of key documentation such as that the projects are delivered to budget, schedule, and quality standards.

They will assist the construction planner in their role and fill in where necessary to enable smooth management of the common data environment, finance reporting and management in U4BW and providing construction management assistance to documentation across all the Campus development projects.

Applicant should be able to work under own steam and manage their priorities. Working in a professional office environment, they will assist the construction professionals in the ongoing development of Culham Science park


What will you be responsible for?

  • Assisting Construction Planner and Construction Project managers for all admin tasks
  • Duty for the creation and management of key documentation for project(s) and keeping project databases and records up to date and in line with RIBA stages of work and project requirements.
  • Managing project changes and deviation documents
  • Coordinating and providing information for the assigned project(s)
  • Investigating project data (including finances) and producing standard project reports
  • Project secretarial duties including organising meetings and taking minutes
  • Ensuring the tracking and timely close out of project actions
  • Coordinating and being proactive in closing actions for project manager
  • Managing and updating project data bases
  • Updating and manging finances for consultants and specialist services
  • Monitoring the property team's compliance with UKAEA policies and procedures and providing feedback and advice to assist the planning and completion of construction works on a variety of construction projects




NOTE:

Hybrid availability would be based on project requirements, allowing for on-site presence for any of the 5 days, with the flexibility to work from home for 2-3 days depending on schedules.

Qualifications:


Essential skills, experience and competence required

  • IT literature, fluent in Microsoft Office, including Excel and PowerPoint
  • Excellent report/minutes writing skills
  • Good interpersonal skills
  • Good planning and organisational skills
  • Be able to work independently, with initiative and minimum assistance.
  • Experience of managing the interfaces and interdependencies for technical projects
  • Experience of quality management system
  • Experience of purchasing
  • Some finance or accounting experience preferably use of U4BW useful
  • Demonstrable experience in similar Project management/ coordination experience in construction projects and coordination of works
  • Ability to work to tight deadlines when necessary & flexibility to react to changing priorities.
  • Discreet & professional approach considering the business need.
  • Knows the basis of project management.
  • Comprehension of Common data environment system advantageous
  • Be able to work with multiple computer data systems and data management.
  • A broad comprehension and HNC level construction course an advantage
  • Good report writing skills

Desirable skills, experience and competence

  • Be flexible and able to work across several projects and in several different teams.
  • Provide assistance and cover for Property departmental admin if required.
  • Management of senior Campus development staff diaries and booking meetings.
  • May network to build external relationships
