The Role:
To support the Headteacher and staff in running an efficient and welcoming school.
PURPOSE OF JOB
- To provide a confidential secretarial, clerical, administrative and IT support to the Headteacher and senior staff to ensure efficient communications between all parties associated with the school.
- To act as an ambassador for the school as the first point of contact for all parents, visitors and prospective families.
PRINCIPAL ACCOUNTABILITIES
- Maintain a welcoming, safe and secure environment for pupils, staff and visitors.
- Ensure the code of conduct is visible and presented to all visitors and signingin procedures are followed for all visitors.
- Ensure the staff signingin system is kept up to date and present for each new day.
- Ensure all school registers are taken, logging pupil absence and late arrival and follow up with parents for those pupils absent without authorisation, by 9.30am each day.
- Ensure the fire register is printed and present in case of an emergency each day.
- Maintain a list of pupils who have to leave early or are due to arrive late and keep this with the fire register.
- Maintain a list of pupils who may require medication and ensure that this is administered at the correct time.
- Undertake all written and electronic communication as required, for the school, the Head Teacher and other members of staff, to ensure efficient communications between all parties associated with the school.
- Undertake a full range of secretarial duties for the school, including drafting letters to ensure well
- Produce regular contact letters and social media posts and distribute to parents, Directors and other interested parties
- Update and produce school publications; such as the prospectus and school hand book to ensure information is conveyed clearly and concisely in a manner which positively promotes the image of the school.
- Undertake the role of SchoolPod and EyLog System Manager, to include the installation of database upgrades and the management of computerised pupil and staff records. This includes maintaining records of staff absence, training and contractual details.
- Assist in the development of SchoolPod as a whole school solution.
- Ensure all personnel administration is processed in liaison with the school's personnel provider to ensure the correct payment of salaries and compliance with employment legislation. This includes the processing of paperwork relating to appointments, changes and terminations of contracts.
- Collate and maintain all nonfinancial data returns as required by the LEA and DfCFS e.g. School
- Maintain pupil records to ensure up to date information is being held by the school and that sensitive information remains secure and confidential.
- Implement the necessary procedures and maintain records accordingly regarding new admissions, casual admissions and secondary transfers
- Maintain accurate records of number of pupils on roll and future intake to ensure a correct formula funding budget is allocated and to enable future planning of school budget.
- Manage queries from various sources, in person, in writing or by telephone, ensuring that problems are resolved and precise information conveyed.
- Manage, plan and coordinate workload to ensure deadlines are met.
- Ensure a commitment to your own personal and professional development, as targeted through the appraisal process.
- Update the school website in conjunction with the Directors, Headteacher and management company.
