Position Overview:


Key Responsibilities and Accountabilities:


Take a proactive approach to assisting the CEO to be effective, thinking ahead for them, keeping them informed, and helping them plan their time.

Provide comprehensive support services to the CEO that ensures outstanding communication and responsiveness.

Screen and direct phone calls and distribute correspondence.


Provide sophisticated diary/calendar management; prioritise inquiries and requests, troubleshoot conflicts, make judgements and recommendations to ensure smooth day to-day engagements.

Manage scheduling and travel logistics for the CEO.

Support the CEO with internal and external communications by reviewing, evaluating, and distributing by priority.

Support and manage a high-volume of requests and projects to meet the objectives of the CEO.

Prepare and edit correspondence, presentations, reports, and memos as required.

Prepare draft reports, background documentation, and research when required.

Produce Spreadsheets on behalf of the CEO.

Review all documents, reports, and correspondence for format, content, grammar, and spelling; makes edits as necessary.

Support the CEO in strategic communications and all other projects as assigned.

Organise board meetings, and support meetings by setting agendas and preparing papers.

Take minutes during meetings.

Have a creative approach to find efficiencies for the CEO on ways of working.

Troubleshoot administration issues with little guidance needed.

Oversee the performance and have line management duties of other personal assistants, as required.


Skills and Experience:


Essential:

Experience as an Executive Assistant, Personal Assistant, Senior Administrator, or similar role.


Excellent MS Office knowledge including the ability to create moderately complex spreadsheets and format PowerPoint presentations to a professional standard.

Outstanding organisational and time management skills.

Experience of managing a small team.

Excellent verbal and written communication skills.

Hands-on, can-do approach.

Ability to remain calm under pressure.

Confident in liaising with stakeholders at all levels.

Self-motivated & punctual.

Ability to manage multiple tasks.

Excellent attention to detail.
