About this role

This post holder provides an efficient and welcoming Stage Door service.

This will include providing quality administration, communication and reception support to all theatre departments, visitors, contractors and visiting company members.

The Stage Door Keeper is also required to maintain a safe and secure environment backstage including the opening and locking up of the building and monitoring the fire alarm and security panels where required.

Key duties and responsibilities


Customer Service

  • Greet all visitors with or without appointments dealing with their enquiries efficiently.
  • Respond to all telephone queries in a polite and helpful manner.
  • Maintain a good working knowledge of the theatre's programming, services and facilities.
  • Handle customer comments or complaints effectively, escalating them to Theatre Management where appropriate.
  • Provide a high standard of customer service to visiting company members whilst they are working at the theatre.

Operations

  • Answer the switchboard telephone system, transfer calls to other theatre staff or take messages.
  • Make announcements using the Tannoy system.
  • Sort and distribute incoming and outgoing mail, including letters, parcels, and deliveries of equipment for the theatre, ensuring such deliveries are logged and given to the intended recipient.
  • Check and sign for programme, ice cream, confectionery, and drinks deliveries.
  • Log items of lost property on the in house lost property log.
  • Inform the relevant departments of any building maintenance issues that become apparent.
  • Assist with administrative tasks as required.
  • Organise taxis when authorised by theatre management or heads of department.
  • Attend meetings and training as requested by theatre management.

Health, Safety and Security

  • Adhere to Company policies, rules and regulations including the Health and Safety policy.
  • Open and close the building in accordance with the approved procedure at each theatre.
  • Ensure the Stage Door area is secure at all times, including regular monitoring of CCTV and the entrance to the Stage Door area.
  • Supply daily signing in/out sheets and ensure that all personnel, visitors, and contractors sign in and out of the building.
  • Control the allocation and return of building keys.
  • Respond to internal radio communication promptly to aid the smooth running of the building.
  • Comply with emergency procedures as laid out by the Theatre Management of each theatre.
  • Maintain a good knowledge of the fire alarm and security operating systems including weekly testing procedures, isolation of sensors and operation of the panel during an emergency evacuation.
  • In the event of an emergency evacuation follow the approved procedures for the role of the Stage Door keeper.
  • Store and issue the accident report book if required. Pass completed forms on to theatre management without delay.
  • Report any suspicious behaviour by staff or members of the public to theatre management.
  • Ensure the Stage Door area is kept clean, tidy, and fit for purpose.

General

  • Appear neat and tidy at all times, dressing in a manner that portrays a suitable image to the Company's customers.
  • Accurately promote the Company, its facilities and programme of work to customers where appropriate.
  • Maintain good working relationships and demonstrate a high standard of professionalism at all times.
  • Train new/cover staff in Stage Door duties as necessary.
  • Attend inhouse and externally organised training sessions as required by the Company.
  • Exercise total confidentiality, discretion and integrity regarding information acquired as a result of the position held.
