Reporting to:
Operations Manager.
We are a fire and security installation and maintenance company based in Dulwich, South London. We are currently looking for a senior administrator to assist with the roles and responsibilities listed below.
Roles and Responsibilities:
- To produce operations manuals for small and large projects
- To amend in house documents as and when required keeping a record of the latest version.
- To update and keep on top of engineer training needs, to book in training as and when required and to ensure that the engineers ECS (H&S onsite) cards/qualifications are in date in all times.
- To keep in house CRM up to date, ensuring that there are no duplicate entries
- To create new maintenance contracts within our CRM system (CLIK)
- To create guarantees for new projects within our CRM system (CLIK)
- To keep on top of Subcontractor insurance renewals to ensure they are up to date at all times whilst they are working for WLS
- To onboard new Subcontractors sending them onboarding questionnaire and requesting insurance information also updating our inhouse subcontract list to send to project managers and sales team.
- Arranging meetings with new Subcontractors and MD to in build a good working relationship
- General in office filing
- Creating project and adding onto CRM System (CLIK) asking Operations Manager as and when required.
- Generating NSI certificates following completion of projects (Accreditation Certificates)
- Create RAMS (Risk Assessments & Method Statements) for project managers ahead of project start dates
- Sending engineers to correct installation certificates to complete and return, responsible of receiving these and linking them to CRM.
We are looking for someone with:
- Strong organisational and communicational skills. Keen eye for detail.
- Previous knowledge of and experience in the fire and security industry.
- The ability to commute to the office on a daily basis.
- Full right to work in the UK.
