Salary:
£10,400 to £13,000 per year depending on number of hours worked and level of experience


Hours of Work: 16 to 20 hours per week, Monday to Friday - typically 4 or 5 hours per day

The role is to provide administrative and operational support across the business while also facilitating the smooth delivery of projects for our clients, in order to allow our project managers to focus on the operatives and generally help the machine run smoothly


In this role you will be the lynchpin that supports our business wide operations and the facilitator of our operational departments.

We are looking for a calm, solution focussed and experienced team member who is able to take the lead, prioritise (and re-prioritise) work quickly, problem solve, proactively suggest solutions and generally juggle a variety of different balls at the same time without dropping any of them


What does a typical week look like for an Operations Assistant at REVITAGLAZE?
The things you will take responsibility for and are likely to encounter on a regular basis are:

  • Full ownership of all operational administrative duties, associated systems and processes across the business.
  • Point of contact for incoming calls and management of postal mail and administrative deliveries.
  • Supporting with complaint resolution, booking accommodation, flights and making other travel arrangements for remote staff members inline with company policies etc.
  • Providing administrative support to our Project Managers and the Finance team eg general credit control, timesheet management, checking invoices and delivery notes, reconciling payments, setting up POs, maintaining project financial trackers etc
  • Supporting the Sales departments with administration as and when required eg posting brochures, booking appointments etc
  • Processing orders for labour, materials and consumables, suggesting efficiencies where they can be found.
  • Communicating with external organisations and suppliers as well as vehicle operators, to ensure full compliance with all legal and company requirements, alongside contractual commitments.
  • Keeping team members on their toes ensuring that they meet all required administrative standards.
  • Processing accurate information received from our remote working sites throughout the UK and creating / providing client facing reports / updates on project specified dates etc.
  • Assisting with stock control.
  • Asset Management / Fleet onboarding and offboarding.
  • Completing driving licence checks, maintaining eye test records, monitoring and recording vehicle activity / condition checks in association with the Fleet Manager to ensure the smooth running of our the respective Departments
  • Assist in provision of end of month job costing and financial reports support to Project Managers and Finance Department
  • Assist in the provision of information and support with any external or internal audits.

Desirable Skills / Experience

  • COSHH and IOSH Managing Safely or equivalent accreditations
  • Previous experience of using Xero
  • Background in logistics and transport

Qualifications Required
English to GCSE Level C, or above

Maths to GCSE level B, or above
