Why this job matters
This is a unique opportunity to provide support to 2x Directors in the daily operations of their office.

As a PA, it is crucial to understand and agree upon the level of services and outcomes required to support them.

Two-way communication and stakeholder management are key.

  • The PA will need to be resourceful, innovative, and accountable for a wide range of secretarial and administrative duties. They must be able to work with a minimum of instruction, anticipate needs, and take the initiative without being prompted. The PA must be able to work autonomously and seamlessly, demonstrating the ability to adjust in a changing and challenging environment—multitasking between workloads is essential
  • It is crucial that the PA has the drive to go above and beyond to get things done, with a proactive and commonsense approach.
  • The diary can constitute as much as 80% of your workload, and it is paramount to connect regularly and build a strong partnership to understand workstyles and align on priorities, ensuring things happen at the right time and in the right order.
  • It is important to continually improve ways of working, pioneer change, and work collaboratively with peers and leaders, utilising digital technology to achieve results

What you'll be doing

Time Management and Meeting Planning:

Mastering the art of managing and prioritising the Chief Digital Architect schedules, creating necessary breaks, and ensuring seamless preparation time.

You'll excel at handling requests, resolving conflicts, and judiciously delegating tasks.


Meeting Preparation:

You'll shine in coordinating and preparing meeting materials, setting up efficient reading processes, and using Microsoft Word and PowerPoint to craft impactful documents and presentations.


Stakeholder Management & Collaboration:
Building robust relationships with stakeholders, fostering a culture of continuous learning, and collaborating seamlessly with colleagues across the business


Communications/Engagement:
You'll orchestrate people calls, webcasts, and events while designing engaging engagement and visibility strategies.


Primary Contact/Call Management:

Serving as the primary point of contact for the office and virtual office, adeptly screening and filtering calls and visitors.


Safety, Security, Ethics & Compliance:
Ensuring unwavering compliance with BT processes and policies, with a keen eye on financial prudence.


Special Projects & Ad hoc:

Taking on various administration tasks as requested, from document production to troubleshooting simple IT issues, facilitating new team member onboarding, and diligently attending meetings to capture notes and follow up on actions.


Skills and experience

  • Proficiency in Microsoft Office packages
  • Familiarity with inbox management
  • Strong skills in diary management
  • Previous experience as a Personal Assistant
