Overall Purpose


The main purpose of this position is to provide administrative and secretarial support to members of the Senior Leadership Team (SLT) (as above).

This is an exciting time to join the department as new initiatives are being launched. This opportunity would suit someone looking to develop within the department and take on more responsibility over time.


Working alongside the Personal Assistant, you will ensure that the SLT are supported pro-actively and effectively at all times during the School term and that your role as SLT Administrator positively impacts on the effectiveness of the team.

There is continuous involvement with academic and support staff, the Bursary, parents, pupils and other schools and educational organisations.

The SLT office will need to be manned during the School day Monday to Friday. Specific hours can be arranged within the office. There may be a requirement to provide additional cover from time to time. There is also a requirement to work 3 weeks split across the school holidays.


Duties

  • Assist the PA to SLT with diary arrangements for the SLT, supporting diary commitments as required. This will include inviting attendees, room/hospitality/equipment bookings, visitor schedules and minute taking.
  • Liaise and correspond as necessary with the academic staff, support staff, governors, parents and pupils regarding meetings and messages.
  • Ensure effective and timely communication in support of SLT activities.
  • Termly coordination of calendar entries and production, duty rotas, weekend rotas and the assembly schedule.
  • Weekly coordination of weekend boarding activities, to include catering, room and transport bookings. Liaison with external providers as necessary.
  • To act as a central point for preparing documentation relating to ISI regulatory requirements, liaising with the relevant member of SLT as necessary.
  • Organise the new and departing pupil Safeguarding documentation.
  • Liaise with the school photography company and organise all school photos.
  • Assist the PA with daily administration tasks.
  • Proof reading.

Knowledge/Experience

  • Educated to A'level standard or equivalent (D)
  • Business degree or similar (D)
  • Excellent administration skills (E)
  • Secretarial and/or senior administrative experience (E)
  • High degree of computer literacy, including MS Office and use of databases (E)
  • High standard of written English (E)
  • Experience in the education sector (D)
  • Excellent written and oral expression (E)
  • Good telephone and office manner with the ability to deal with difficult enquiries (E)
  • Ability to organise and manage a busy workload (E)
  • Ability to prioritise effectively and manage conflicting demands (E)
