Description

The Administrator in Oxford assists the Administration Manager in carrying out all Oxford-based tasks in a professional and efficient manner.


Key Responsibilities:


  • Covering the reception desk in Oxford from 9:0017:30, Monday to Friday:
  • Receiving visitors
  • Taking deliveries
  • Office Maintenance, ensuring the smooth day to day running of the Oxford office:
  • Dealing with all maintenance issues for the Oxford office#
  • Liaising with building managers or external suppliers on upkeep
  • Coordinating the cleaners for the office
  • Dealing with suppliers (Milk, News, Fruit, Watercooler, Coffee, etc)
  • Care of the plants and other decorative elements of the office
  • Keeping the kitchens tidy throughout the day
  • Managing visitors list, entrance cards and keys
  • Implementing sustainable office practices
  • Managing H&S in the office
  • Sales Support:
  • Supporting sales teams with the Salesforce procedures
  • Checking renewals/new sales on Salesforce for invoicing
  • Setting up users
  • Creating various reports
  • Reconciliation of clients' accounts
  • Meeting Room bookings:
  • Ensuring the rooms are tidy and set up appropriately for meetings
  • Post:
  • Coordinating incoming post
  • Daily post office duties
  • Arranging ecouriers
  • Social Events:
  • Assisting with the organisation of global and team parties/events
  • Setting up and coordinating monthly office socials in the office
  • Preparing factsheets for global companies
  • Travel:
  • Assisting employees with company travel tool
  • Ensuring that bookings are made at the best price and through the proper purchasing system
  • Other:
  • Assisting with staff photos booking for the company website
  • Ad hoc PA support for CEO and Chairman
  • Looking after multiple inboxes (leave and sickness cover)
  • Preparing factsheets for global companies

Key skills/Requirements:


  • Knowledge and experience of MS Office, especially Outlook, Word and Excel
  • Excellent communication and organisational skills
  • Excellent attention to detail
  • Excellent Customer service skills, especially when dealing with customers in writing and on the phone
  • Proven ability to take initiative and work independently

The Administrator must be prepared to work as part of a team and assist or carry out other duties as requested during periods of high workloads, sickness, holidays and emergencies.

Salary:
£20,000.00-£40,000.00 per year
