About Venus
Venus is a 26-year-old, community based, grassroots charity working alongside women, children, young people and families. We work with our communities to shape and deliver extensive front-line support services in South Sefton and Halton.

Our work is delivered via four strategic programmes:
Family Support; Housing and Resettlement; Mental Health and Wellbeing and Hub Services. We support families in crisis by offering intensive support, outreach and home visiting, financial and money management, and advocacy. Our Star Centre delivers mental health and wellbeing support via talking therapies and systemic family practice. This work is supported throughout by a dedicated team.

In this role, you will work with a proactive approach, dealing with any issues as they arise, supporting the Children and Young People's Mental Health and Wellbeing Team finding and delivering solutions quickly to ensure a high quality of support is delivered to our service users based in our Star Centre.


Clinical Administration Assistant Job Description & Person Specification


Job purpose - The Administrative Officer is a key part of the Venus team, looking after elements of finance, communication and organisation.

Reports to / Line Manager - Programme Lead/Programme Coordinator

Department - Children's and Young People's Mental Health & Wellbeing

Hours per week - 28

Venus Grade 2 - £10.42ph


Role & Responsibilities and Core Competencies

General Support

  • Maintain a busy, dedicated enquiry line, ensuring all queries are dealt with appropriately, confidentially and quickly.
  • Reception duties, making and receiving calls, take and relay accurate and timely messages and answer questions where possible, deal with visitors to the organisation in an appropriate and personable manner.
  • Book and manage appointments on behalf of all therapists and communicating updates to them.
  • Providing reception cover at the main centre when required.
  • Receive and distribute incoming post and deal with outgoing mail.
  • Take minutes for team meetings, MDT meeting and any others where appropriate.
  • Photocopy, collate & distribute documents as required.
  • Ensuring the office stationery supply is sufficient, liaising with the Administration Officer as needed.
  • Maintain records and Assist in the maintenance of the registration system, ensuring that information is frequently & correctly updated.
  • Data entry, including inputting registration details and new referrals, maintain & review file system.
  • Provide general administration support across the team.

Management Administrative Support

  • Assist in the preparation for tender reviews, funding bids and reporting collate evidence.
  • Coordinate staff diaries, appointments & availability where necessary.
  • Maintain booking diaries & reservations. Set up meetings, book meeting rooms and coordinate events according.
  • Maintain Health & Safety recording & reporting in line with organisation procedures.
  • Monitor data quality reports to ensure data is correctly inputted and to highlight any user issues to the coordinator.
  • Assist with producing referral statistics and reporting as required.
  • Be responsible for the distribution of publicity, marketing, referral packs, leaflets etc.
  • Provide administrative support to senior management team as & when required.

Relationships and Engagement

  • Maintain a good, open & friendly working relationships.
  • Use a variety of Office IT software and produce documents to organisation standards.
  • Participate in staff development & training, using all relevant learning opportunities to improve skills.
