Responsibilities
Administration
- Support to the Executive Assistant as required
- Presentations, reports and documents (Microsoft PowerPoint, Word and Excel)
- Manage diaries, arrange meetings, conferences and team events
- Printing, binding, scanning and photocopying documents
- Assist with data input for Client Relationship Management system (CRM)
- Assist with organising events and conferences
- Processing client payments via SAGE Pay and banking cheques
- Travel arrangements for staff
- Filing and archiving
- Order stationery and facility items for the office
- Assist with facilities / maintenance requests as required
Reception Responsibilities
- Ensure all telephone calls are answered promptly, transferred and handled in respect of callers
- Greet all visitors into the reception area with utmost professional courtesy and respect
- Manage meeting room reservations and workspace booking app
- Set up meeting rooms and restore rooms to standard set up after use
- Prepare refreshments for meetings and office events, organise external catering as required
- Support office events as required (may include some early morning and late afternoons with notice)
- Organise couriers and taxis for clients and staff
- Manage incoming / outgoing mail requirements for the office
Personal and professional qualities
Essential:
- Excellent communications skills
- Strong team working ability with a positive, enthusiastic attitude
- Demonstrate experience with MS Word, MS Excel, MS PowerPoint
- Ability to be discreet and confidential
- Proactively seeks opportunities and proposes solutions
- Enthusiasm for client service and delivery
- Ability to manage multiple tasks simultaneously, meet deadlines and maintain a high quality of work
- Personal presentation that reflects a professional image and the values of the organisation
Desirable:
- Flexibility is required and an ability to remain calm under pressure
- Possess adaptability to manage changing work requirements and varying volumes of work
