Job description
The Operations Project Administrator is responsible for supporting the Operations team with project administration tasks, including assisting the Project Coordinator with scheduling the work of the site teams, booking material deliveries to sites, booking hotels and trains, liaising with clients, and communicating with the various sales, accounts, health & safety, and workshop teams.
This is a
very fast-paced role that requires attention to detail and the ability to work as part of a team with a willingness to learn.
Duties and Responsibilities
- Ensure site requirements are met in respect of plant, machinery and materials
- Liaise with clients to schedule site work
- Book inductions for site teams
- Book travel and hotel accommodation as necessary for site teams
- Assist with document control from various document media
- Establish and compile digital and physical project folders and site start packs
- Process and file Company siterelated documentation
- Input information into computerised sales order processing system (Sage), as required
- Ensure nonconformities are reported promptly
- Assist the Operations team with various activities and be willing to learn in order to support colleagues
Key Challenges
- Understanding internal and external customer needs and taking responsibility for delivering excellent customer service
- Dealing promptly with enquiries and requests
- Able to work accurately in a very fastpaced, pressurised environment
- Flexibility and ability to cope with last minute changes to schedules
Experience and Technical Skills Required
- Previous experience in a complex admin role essential, preferably in a manufacturing or construction environment
- Basic knowledge of project planning, plant hire and health and safety beneficial but not essential
- Excellent telephone manner and written communication skills
- PC Literate including experience of all Microsoft Office programmes and Sage
- Salesforce experience beneficial
- Motivated, excellent organisational, time management and negotiating skills
- Attention to detail essential
