Purpose of the Post


To be the first point of contact for many of our tenants who are requesting or querying a repair to their home.

You will work closely with the other members of the Reactive Maintenance team, contractors, external agencies and other teams within RHA to ensure that an effective repairs service is being delivered.


Main Duties & Responsibilities

Key Responsibilities
To develop an expertise in diagnosing reported repair issues, accurately determining works required prior to raising orders.

To provide accurate advice to tenants on all aspects of housing related enquiries, signposting appropriately where necessary.

To provide a diverse and responsive administrative support service to the Reactive Maintenance Team.


To communicate effectively across the Reactive Maintenance, Housing Services and the wider teams within RHA to ensure that all tenants receive a timely and accurate response where required.


There will be a requirement for flexibility between roles within the team to ensure that our business needs are fully met and that we provide a first class customer service at all times.


Main Duties
Ensure that the General Data Protection Regulation principles are followed in line with RHA's Policies.

Ensuring that all contacts and relevant subsequent actions are logged on our Housing Management system.

Providing up to date and accurate advice or information to tenants, signposting to relevant agencies and stakeholders where appropriate.

Accurately diagnosing repair orders to ensure high levels of efficiency when ordering required works. Ensuring that any rechargeable works are identified, confirmed with the tenant and an arrangement for payment agreed.


Working closely with the Building Surveyors, Direct Labour Operatives, contractors and Finance team, to ensure accurate work orders are recorded on the system and that information is updated and closed in a timely manner where required.

Completing a diverse and responsive range of administrative tasks to support the function of the Reactive Maintenance team. For example mail merges, printing, taking minutes, photocopying, scanning, filing and updating the housing management system.

To effectively manage the group inbox with the others Maintenance Advisors.

Attend meetings and take minutes as requested.

Capturing up to date profiling information at point of contact and updating the Housing Management system.


General
To adhere to the Association's policies and procedures at all times when they are applicable.

To assist with audits as required.

To ensure the implementation of best practice and continuous improvement across the service.

To continually look for ways of providing a more efficient and streamlined service.

To assist in the preparation of reports as required.

To attend meetings and training as required.

To promote the best interests of RHA and its policies in all areas of work.

To undertake any other duty commensurate with this post as requested by your line manager.
