Description

We are looking for an enthusiastic Senior Clerk to come and join our friendly Admin and Clerical Team in the Sheffield Hand Centre Department, which forms part of the Musculoskeletal Group within Sheffield Teaching Hospitals NHS Foundation Trust.

The Group is made up of 9 Directorates.


The post holder will be expected to prioritise their own workload to ensure that registration of all referrals and booking of appointments are in line with the Trust's waiting time standards and the Trust's Patient Access Policy seeking reference from their manager and clinical staff as required.


Overseeing the management of all outpatient clinics within the department, maintaining clinic continuity, focusing on clinic cancellations and reductions when required and reorganisation and rescheduling of patients, on occasion at short notice.

Involvement in restructuring existing clinics or arranging entirely new clinics.


Along with the Outpatient Clerical Officers, ensure all referrals from Consultant Medical staff, Nursing staff and other health professionals either by letter, fax or telephone are dealt with efficiently.

The post holder will be expected to read, analyse facts and situations to enable judgement to be utilised in prioritising necessary action to be taken when dealing with a referral in line with departmental policy, protocols and procedures.


Use Lorenzo and National Tracing Service to search for previous records or register the patient as appropriate, ensuring accuracy in data entry and avoiding the creation of duplicate records.

Book appointments in line with agreed procedures which will from time to time be revised. This will include contacting patients by telephone or by post and maintaining a partial booking system where necessary.


Manage cancellation and changes of clinics according to departmental guidelines, rearranging patient's appointments and ensuring the waiting time does not exceed the Trust target.

Concentration and attention to detail is required for this.


Deal with telephone enquiries from patients and ward staff regarding the booking or changing of appointments and forward letters and any other necessary information to patients to confirm appointment details.
