Role Summary

Main Duties and Responsibilities

  • Provide a confidential reception service for therapy services including but not limited to the receiving of referrals for clients, scheduling appointments and / or liaising with therapists, associates, and contract managers.
  • Prepare accurate records and referral information for finance purposes and effectively liaise with the Finance Officer.
  • Enter, retrieve, monitor, and supply information in accordance with GDPR regulations.
  • Contribute to the effectiveness of workflow through planning and organising own work schedule, attendance, obtaining and organising the necessary information and resources.
  • Actively review and manage all counsellor documents to ensure insurance, counsellor qualifications and BACP accreditation is up to date.
  • Promote, monitor, and maintain a healthy, safe, and secure working environment, ensuring compliance with any legal and/or regulatory requirements, maintaining accurate documentation, and reporting any concerns.
  • Maintain the confidentiality of information about clients, counsellors, and other business in accordance with professional codes of conduct and relevant legislations such as the General Date Protection Regulations
  • Maintain business confidentiality in line with Healthwork policies and procedures.
  • Lead by example and be an inspirational role model for the Optima Health values
  • Promoting and delivering Optima Health's Workplace Wellbeing Plan across all employees within the Resource Optimisation Structure
  • Some travel may be required
  • Carry out other ad hoc tasks commensurate with level of responsibility as requested

Experience, skills and knowledge required for the role

  • Previous Administration experience
  • Highly motivated individual, willing to coordinate tasks with a closeknit team while also being able to work independently when needed.
  • Able to take the initiative and prioritise workload.
  • Excellent communication and problemsolving skills.
  • Have a 'can do' attitude.
  • IT literacy: Able to confidently use MS Word, Excel and Outlook.
