Fawkes & Reece are currently working with a very established contractor who are looking for an Admin Coordinator to join their team in Lancashire.

Operating for over 70 years, they specialise in large refurbishment projects, new build homes & commercial premises, extensions and maintenance for the education, health, residential and retail sectors.


The Role - Admin Coordinator
As an Admin Coordinator you will be responsible for managing and coordinating the daily administrative duties for the office, reporting into the Office Manager and will have the following duties:

Purchase invoices

  • Scan barcoded invoices to Evolution.
  • Cost code each invoice and use order number for job number.
  • Input on hold on to Evolution.
  • Check Deltek for purchase order with the order number for each invoice or use agreed rates saved on new company to price check each invoice. Keep any invoices in query.
  • Send invoices to relevant QS for sign off.
  • Take signed invoices off hold ready for payment run and file in date order.

Supplier Maintenance

  • Adding new suppliers to Evolution.

Supplier Statements

  • Check invoices on Age creditors statement with supplier statements when all invoices for the month are on before the payment run.

Purchase Payment Run

  • Run transaction list report to see if any invoices are still on hold before the payment run.

Contract Journals

  • When an invoice or cost code needs moving to another job.

Age Creditors Reports

  • Run this report at the end of the month to see if any invoices or payments need to be posted or matched.

Manuals for finished projects

  • Chase Subcontractors for info.
  • Provide 2 CD copies with the manual.
  • Get the manuals signed for.

Site assets list spreadsheet

  • List of all fire extinguishers on which site and site laptops and mobiles etc

Additional duties

  • Project list spreadsheet
  • List for projects, end dates, manuals completed and uploaded to U.S, H&S files returned etc
  • Assistance in the preparation for audits from CHAS, ISO and Constructionline.
  • Keep agreed prices lists from suppliers up to date
  • Works Orders
  • Publish and Issue Drawings on Deltek. Print Drawings.
  • Combining PDF's with Adobe
  • Mostly for Manuals and Company Profile.
  • Print off Tenders
  • Send out Tenders
  • Dropbox Links
  • Produce Health and Safety Files for new projects
