Overall Purpose:
To manage the administration of print advertising bookings and the production process for the _Guidelines_ and _Guidelines in Practice_ journals
:
Main Responsibilities and Duties:
70% - Print advertising administration
- Manage Print Specials tracker so UK sales team have visability on availability
- Track all print advertising bookings in excel and ensure they align with SF
- Salesforce (SF):
- Deal review all print advertising bookings within 24 hours based on submitted order and/or sales submission template (booking details, PO/contract, target/revenue dates)
- Work with finance to update SF if bookings are amended or cancelled
- Ensure SF live dates are inputted after each issue for timely invoicing.
- Manage insert needs of Member Marketing and CS&OPs
- Liaise with the printers on requirements for each issue and approve Order Acknowldgements
- Liaise with agencies to ensure all advertisement copy (PDFs) are current, as per our specification, and supplied as per the production schedule
- Work with Editoirial to flatplan journal issues, with a view to maximising the yield and managing the advertising to editorial ratio
- Upload all print files (PDFs) to the Printers and run initial proofcheck
- Ensure the Audience data team submit the mailing list for each issue
- Send voucher copies to media agencies and clients, and complementary copies to key contacts.
- Main point of contact for key suppliers:
- Warners Printing House (Printing, paper, production, mailing)
- Royal Mail (Postage)
- Input all invoices to Concur system
- Work with Finance on budgeting and forecasting
- Use SF to calculate Page Yields for each issue
Skills and Qualifications:
Essential:
- Attention to detail
- Excellent time management and organisational skills, and proven track record of ability to meet deadlines
- Able to work independently and across teams
- Able to develop and follow processes/SOPs
- Excellent interpersonal skills.
Desirable:
- Experience of print publishing production
- Experience of working within a CRM such as Salesforce.
