Senior Project and Executive Support Coordinator


Keep Me Breathing are an entrepreneurial, specialist Med Tech Charity looking for a brilliant, dynamic Senior Project and Executive Support Coordinator.

30 hours per week. Typical working days will be Monday-Thursday with on average 3 of those 4 days working from home.

Occasional Friday and weekend work may be required throughout the year as well as a small amount of international travel.


Key Sample Responsibilities:


Project Management:


  • Oversee project timelines, ensuring milestones are met and projects align with strategic objectives.
  • Coordinate meetings and facilitate project evaluation to assess outcomes and identify improvements.

Communications:


  • Develop internal communication strategies and manage the organisation's internal knowledge base.
  • Draft releases and manage communications
  • Liaise consistently with key stakeholders (more below)

Stakeholder Management:


  • Serve as the first point of contact for stakeholders, from healthcare institutions to corporate sponsors
  • Coordinating fundraising events and policy consultations.
  • Build and maintain relationships with a variety of stakeholders including healthcare institutions, patient advocacy groups, and corporate sponsors.

Support and Administrative:


  • Organise travel and itineraries, and provide logístical support for board meetings.
  • Manage the executives schedule and assist with the preparation of meeting materials.
  • Implement and maintain efficient document filing systems and manage IT and cybersecurity policies.
  • Draft, review, and summarise various reports and documentation ensuring compliance with legal standards.

Financial Management:


  • Act as a liaison between executives and internal/external stakeholders
  • Assist in the development and monitoring of the annual budget.
  • Manage expense reports, ensuring accurate financial documentation and adherence to policies.
  • Provide financial forecasting and assist with internal and external audits.

Skills and experience:


  • Proven track record in an administrative role with project management experience.
  • Strong organisational, financial, and communication skills.
  • Proficient in Google Business Suite, Microsoft Office Suite, project management software, and digital communication platforms.
  • Ability to manage multiple tasks with high attention to detail and confidentiality.

Salary:
£24,000/Year (30 hours per week)

21 days holiday per year with an additional day for every year of service up to a maximum of 25 days per year
