Our client are seeking an enthusiastic and flexible Admissions administrator within the Education sectorResponsibilities:
New Enquiries
- Manage enquiries from prospective parents and agents in respect of Nursery, Reception and midyear entry points.
Prospective Parents School Visits
- Arrange and manage the admission appointment system in consultation with the PA to the Head and Deputy Head (Pre-Prep)
- Arrange school tours for parents when necessary.
- Issue postvisit communications and follow up.
Registrations
- Process new registration forms.
- Allocate reserved places, formal offers and waiting list positions.
- Communicate registration positions.
- Create and maintain MIS records.
Registers
- Create and maintain register for Reserved Place and Offered Places in respect of future Reception intakes (5 years).
- Create and maintain register for Offered Places in respect of Nursery intake.
- Track sessional requirements for Nursery places.
- Offer formal places and coordinate acceptances/deposits 18 months before entry (12 months for Nursery).
- Manage offered places carefully to ensure that numbers accurately match places available.
- Manage relinquished places and progress pupils off waiting lists.
Manage General Enquiries from Prospective Parents
- Including matters of uniform, school bus, Wrap around care, extracurricular clubs, bursaries, school fees, childcare vouchers etc.
Assessment (Mid-year entry)
- Create and maintain waiting list for midyear entry.
- Coordinate assessments with teaching staff.
- Arrange assessments with Head of Assessment.
- Seek reports including confidential with existing school.
- Where necessary arrange remote assessments.
- Communicate outcomes with parents and offer places where appropriate.
New Pupils & Leavers
- Maintain admissions/leavers pages on Firefly.
- Process notice letters and advise relevant staff and liaise with parents.
- Flag leavers on School MIS (PASS), add leaving detail and lapse records as necessary.
New Starters
- Manage administration and instructions for all new starters to include completion of medical consent, photographic consents, settling in form, digital resource agreements in consultation with relevant staff.
- Collect and upload pupil photographs.
- Provide initial advice on creating ParentMail account, introduce Firefly and creating Firefly accounts.
- Liaise with parents on all domestic matters e.g. school transport, uniform, clubs.
- Allocate classes/houses and advise parents and staff.
- Liaise with Bursary/IT/Reception staff to create billing, pupil accounts etc.
MIS :
PASS & HUB
- Maintain Excel spreadsheets to supplement data on PASS/HUB as required.
- Ensure individual pupil data is current at time of joining.
- Allocate class name and teacher details to PASS.
- Maintain accurate pupil records.
- Keep pupil registration status on PASS.
- Work with Head of Assessment to coordinate year end and action year roll over process.
- Update houses on pupil records.
Data & Reporting
- Maintain accurate data in relation to admissions enquiries, visits and registrations.
Events and Inductions
- Plan and coordinate admissions events calendar by liaising with relevant staff to include:
- Monthly whole school Welcome Mornings
- Induction events new Reception pupils
- Induction programme new Nursery pupils
- Ad hoc events and parental workshops
- Support the Head of Communications with preparation for the school's biannual Senior School Fair
- Assist on various bespoke projects as required.
Other Duties
- Covering on Reception
- Promoting and safeguarding the welfare of children and young persons with whom you come into contact.
- Adhere to the school's Code of Conduct Policy, adopting and working towards the objectives outlined within the School's Development Plan.
- You may also be required to undertake such other comparable duties as the Head requires from time to time such as minute taking at key management meetings.

Working hours
This is a term-time position with some additional hours to be worked during the school holidays (up to two weeks).
9.00 a.m. to 4.00 p.m. (including half an hour lunch 32.5 hours)Salary
£25,000 to £28,000 p.a. FTE depending on skills and experience (actual salary £16,403 to £17,715 p.a.)
