JOB PURPOSE To provide a full range of secretarial and administrative support to the Radiography Services Manager and Team Managers across a specific radiology modality.

JOB DIMENSIONS The post holder will be part of a team of secretaries providing administrative and secretarial support across a specific radiology specialty.


Any member of the Department may ask for help with administrative tasks and this administrative role will support the managers with the day to day running of the department.

KNOWLEDGE, SKILLS AND EXPERIENCE REQUIRED It is essential that the post holder: Holds OCR Level 2 (or equivalent) in word processing or text processing Has experience of using word processing software and presentation software Is reliable and has a professional attitude Has excellent written and oral communication skills Has an excellent telephone manner Is able to work flexibly Has experience of audio typing It is desirable that the post holder: Has at least one years experience of working in an office Has four GCSEs or equivalent, including maths and English Can use spread sheet and database software Has a knowledge of the NHS environment Experience of using PAS Holds the European Computer Driving Licence Can use his/her initiative when dealing with problems or queries.

PRINCIPAL DUTIES & AREAS OF RESPONSIBILITY The post holder will provide a high quality secretarial/clerical service including specialist word processing/audio skills.

This may involve the use of PAS.

The post holder will assist managers with the submission of data and spreadsheets associated with staff time sheets to the payroll department salaries and wages submissions.

The post holder will assist managers with organising the radiology equipment service dates and will be expected to liaise with the equipment companies for the specific imaging modality and outside agencies as required.

The post holder will assist managers with recruitment of all grades of staff e.g.

This will include specific audits e.g. Nuchal Translucency audit and interventional ultrasound audit. The post holder will assist managers with the management of staff mandatory training records. The post holder will assist managers with the management of staff annual leave.


The post holder will assist managers with the checking/ validation of the modality daily and weekly waiting list and will be expected to collate, type and submit breach reports approved by the Team Managers.

The post holder will assist managers with the typing and submission of patient satisfaction surveys.

The post holder will assist managers with investigating PALS complaints and this will include liaising with clinical staff and the patient at an informal level.

The post holder will provide administrative cover as required during the absence of other administrative staff.


The post holder will undertake other ad hoc clerical or administrative duties as required The post holder will be expected to attend any statutory courses as required for the post The post holder shall undertake to keep up to date with skills and personal development.

Health and Safety/Risk Management All staff are responsible for working with their colleagues to maintain and improve the quality of services provided to our patients and other service users.
