The Role


This is a highly varied and exciting role, and Legal Support Assistants provide support across the width of our legal department.

As a result, from time to time, Legal Support Assistants will have the opportunity to gain experience in the areas of Compliance, Finance and Post-settlement, as well as core Conveyancing.

The role is an ideal fit for graduates in Scots Law who wish to get practical experience of working in a law firm and to develop their careers towards a legal traineeship or paralegal role.


Key Responsibilities include, but are not limited to;
OnboardingIssuing our Welcome Letter and Terms of Business; and executing identity checks for clients- First stage resolution for client queries or problems arising out of onboarding process- Carrying out property searches, and collating and ordering other relevant documents in preparation for conveyancing transaction- Liaising with lenders including requesting of redemption statements- Setting up of case files within our Case Management System

ComplianceCarrying out Risk Assessments (both Initial and Final Risks) for purchase, sale and remortgage transactions- Assessing risk of clients and transactions and identifying those of high risk status (including ensuring the correct jurisdictional links have been identified and associated risk noted)- Auditing files, and carrying out Anti Money Laundering and Source of Funds checks- Liaising with clients raising queries and ingathering more information/documentation/evidence as required

FinanceCarrying out payment checking (checking validity of payments and payment details) prior to funds being authorised to leave the client bank account for purchase settlements, mortgage redemptions, net free sale proceeds, surplus funds, LBTT payments, deposits, and other miscellaneous payments- Raising and resolving payment queries with Case Managers to enable payments to be authorised- Ensuring firm policies and procedures related to payments are strictly adhered to- Preparing client ledgers and cash accounts- Auditing of Case Managers client ledgers and cash accounts

Post-settlementCarrying out required tasks following settlement of conveyancing transaction including submitting of Registrations, Discharges, Advanced Notices, Ranking Agreements, and Scottish Ministers Standard Securities to Registers of Scotland- Liaising with lenders post settlement providing Updated Title Sheets on receipt from Registers of Scotland; and providing charge delay reasons as appropriate- Review and assessment of credit balances on client files post settlement to identify surplus funds to be returned to client, and arranging for same- Spot checking and auditing of files to ensure that post-settlement work is being carried out timeously

Other TasksManaging a wide range of administrative tasks- Monitoring and management of shared mailboxes mailboxes- Recording, scanning and distribution, of incoming documents- Managing DX and all outgoing mail- Ensuring highest level of client care delivered- Completing any other job related tasks as required by line manager


Key RequirementsScots Law Degree (LLB) essential- Diploma in Legal Practice advantageous- IT literate- Excellent communication skills- Calmness under pressure- Self-learning and a desire continually to acquire knowledge and skills
