WHO ARE WE LOOKING FOR?


We are looking for a Team Administrator & Receptionist on a temporary basis to cover the days of Tuesday, Wednesday, and Thursday in our office near Farringdon.

We are looking for someone who has a passion for the creative industry (Music/Tech), and who can provide exceptional administration to support the EA & Operations Manager and the wider business.

The Team Administrator & Receptionist will be the first point of contact for all transactional administration and will collaborate with various stakeholders in conjunction with the EA & Operations Manager.

The role is a part-time temporary role (off-payroll) for a period of 6 months initially with the scope to possibly extend.

This role will be part-time on Tuesdays, Wednesdays and Thursdays.

Working the hours of 9 am to 5.30 pm on each day (22.5 hours per week) in will be based in our office in Hatton Garden, London.


THE ROLE
The role is based on our reception desk in our amazing office in Hatton Garden. You will be the 'point person' in the office for staff, visitors, guests, and the building security team.

Your day-to-day will be varied, but the core tasks of the role are as follows:

ROLE & RESPONSIBILITIES

  • Being the first point of contact for Building Security
  • Screening phone calls, inquiries/requests and handling them accordingly
  • Greeting guests
  • Weekly supply orders and deliveries i.e. Ocado etc
  • Checking stationery stock and replenishing
  • Setting up social team drinks and client event drinks and nibbles inhouse
  • Helping to set up monthly company updates (The Sync)
  • Sorting incoming and outgoing post
  • Handling courier activity
  • Booking meeting rooms as and when required
  • Keeping meeting rooms maintained
  • Processing monthly expenses reconciliation
  • Undertaking any filing, and any ad hoc research/admin tasks as per the requirements of the business
  • From time to time working on special projects across multiple departments as and when required


This summarises the main key responsibilities of your role but there may be other reasonable requests made and other responsibilities included from time to time.

SPECIAL SKILLS & ATTRIBUTES

  • Some experience in reception/administration in an office (desirable)
  • To make a difference in this role you will need to be a real team player and an effective communicator
  • High level of organisation and ability to prioritise work
  • Adaptable and able to juggle several tasks and flex working style
