We are looking for an experienced and enthusiastic Medical Secretary/Senior Administrator /PA to join our Waltham Forest Older Adults Mental Health Team

The post holder will provide a responsive and comprehensive approach to support and meet the needs of the team.

The post holder will use their reason, intellect and judgement to work on their own initiative to deal with matters on behalf of their Manager and Team Consultant Psychiatrists.

The successful applicant will have experience of secretarial support in a health care setting and be able to demonstrate excellent organisational and workload management skills.


Duties will include coordinating clinical appointments, assisting with processing referrals, reducing and managing missed appointments, managing room bookings, audio typing, producing weekly appointment schedules and ensuring records are available for clinic.

The post holder will be solution focused and be able to enhance office systems that have an effective impact. You will also be well versed in producing data and reports on Excel.


The main responsibilities of the post:

To work flexibly to provide efficient, high quality secretarial, administrative and support services to the Consultant Psychiatrists and their medical colleagues as required and to maintain office cover.

This will include the typing of letters, take minutes and produce reports, etc.

A good knowledge of software packages e.g. Microsoft Word, Outlook, Excel and RiO, Digital dictation is desirable.

Probationary Period

Starting with NELFT

NELFT place a great deal of importance on new starters being properly welcomed and inducted into the Trust.

All new starters will join the Trust on the first Monday of each month and will undertake a comprehensive induction of up to two weeks which will include mandatory training, systems training and the allocation of equipment.

As part of the process new starters will have the opportunity to also meet the executive team, senior managers and attend a number of drop in sessions focusing in engagement, health and wellbeing and key processes.

The induction will be held at our head office in Rainham, Essex.

High Cost Area Supplement - London


This post also attracts payment for High Cost Area Supplement of 15% of the basic salary (minimum payment of £4,313 and a maximum payment of £5,436 per annum pro rata).


The post holder will be an effective decision maker, who is able to prioritise own workload whilst responding to interruptions.

The post holder will be able to deal with unpredictable work patterns and proactively deal with issues without reference to others.

They will also be responsible for the preparation and follow up of clinics, reports/letters and be a point of contact within the team.


The role will also require the post holder to attend meetings and take minutes from clinical discussions, professional meetings, other meetings, etc.


The post holder will be required to undertake some general administrative duties within the service which directly support the work of the multi-disciplinary teams.
