We have a new vacancy for a part time
Administrator, working 20 hours per week, starting as soon as possible.


  • The role will be based in the offices of our South Bristol (BS3) warehouse, so applicants need to be able to easily commute to BS3 and to work onsite each day._

The purpose of the role is to carry out all administration duties to support the delivery and return of items to and from our Bristol Warehouse, ensuring that all record-keeping and documentation are completed in a timely, compliant and accurate way


Key duties and responsibilities of the
Administrator role
include:

  • Ensuring all returns are received at site, processed and accurately managed in line with the company requirements, and product returns are up to date versions. Otherwise, obtaining the correct approval from the Sales Manager or Territory Director.
  • Prioritising Return Material Authorisation (RMA) processing; including processing all returned stock, from receipt to put away, and rework if necessary. Obtaining Sales management approval if the RMA falls outside of business terms.
  • Liaising with Stock Control to ensure accuracy and saleability of stock; advising Stock Controller, Distribution Supervisor or Distribution Manager of any quality issues immediately.
  • Assisting the picking/packing team, when necessary, to ensure orders are picked & packed within pledge time; following safe procedures for lifting, moving or working within the warehouse and reporting any unsafe conditions immediately.
  • Organising and maintaining accuracy of filing of export documentation such as bills of lading, certificates of shipment and airway bills line with HMRC guidance. Assisting in monitoring complex/ nonstandard destinations and providing guidance to the Sales team as required
  • Recording, investigating and resolving customer issues within agreed deadlines. Liaising with carriers to sort out any shipment delivery issues or queries whilst coordinating shipment info with the Sales and Customer Relations teams.
  • Assisting the Distribution Supervisor in establishing and maintaining systems for monitoring error rates and for taking corrective action as necessary to minimise errors.
  • Organising collections via in house systems, ensuring compliance with cross border paperwork requirements.
  • Keeping up to date with changes and additions to product lines, export shipping procedures and any relevant legislation; developing relevant knowledge and skills and attending training and meetings as and when required.
  • Provide cover for the Distribution Supervisor when necessary and assisting the Distribution Manager and Distribution Supervisor with projects as necessary.
  • Run daily manifest reports and save in shared folder for Sales to access.
  • Take ownership of daily exception reports and provide additional data for clearance of shipments in Customs.

Applicants will need:


  • GCSE (or equivalent) in English Language/literacy and Maths/numeracy
  • Minimum of two years administrative experience and able to demonstrate a high level of attention to detail
  • Experience of having worked in a warehouse environment (preferred)
  • IT literacy with working knowledge of Microsoft Office including Outlook, Word & Excel (Essential)
- to enjoy working as part of a small team in a busy environment

  • Physical ability to carry out manual handling tasks (with appropriate manual handling aids)
  • Commitment to health and safety practices for safe working in a warehouse environment
  • Excellent organisational and communication skills; and the ability to work to tight deadlines and manage time effectively, demonstrating a high level of expertise in a busy and demanding environment
  • Flexible and adaptable approach, in order to meet the requirements of the business, particularly at peak periods during the year, and to cover for other areas of the team as required
