We are currently looking for an Executive Officer to join our team.

  • Providing a high quality, efficient, fully confidential and proactive executive, administrative and research service to the Director and Heads of Service within Environment and Regeneration.
Anticipating and proactively addressing the needs of the Director and Cabinet members to support the efficiency of the Directorate.

Advise on contentious and /or complex issues, providing briefing notes and ensuring any follow up action is taken.

Manage and actively engage with the introduction of IT systems in line with the Smart and Connected Digital Strategy.

Manage the Directorate's team of Executive Support/Resource Officers to support Directorate efficiency.


The main duties of the post;


Keep up to date with key emerging developments from WG relating to the Directorates portfolio; providing research details to ensure that the Director and Heads of Service are fully informed.


To organise and manage the Directorate's Management Team and Cabinet Members Briefings, to liaise with requisite visitors to the meetings and schedule appropriate timings; to organise agenda, to take minutes and distribute all documentation as necessary.


To take and issue notes and minutes of high level and complex meetings and to follow up any action points on behalf of the Director.


Deal with complex queries from external bodies, councillors and senior managers and progress on behalf of the Director via telephone, correspondence and face to face communication.

Draft correspondence on behalf of the Director as requested.

Manage own workload and assist the Director to manage their workload to ensure timescales/deadlines are met.

Establish and maintain strong and effective networks with external partners and agencies.

Provide a professional service in receiving visitors as a first point of contact and representative of the Director.

To carry out the planning process of the executive unit and compile information as necessary.


Ensure weekly team meetings to forward plan, provide feedback and keep up to date with the Directorates objectives in order to provide a highly proactive support role.

To create, develop and maintain effective office systems including confidential filing systems, maximising the use of IT.

Carry out sickness management in line with the Council's policy

Ensure high standards of work and performance are maintained, ensuring annual PDR reviews are undertaken.

Develop a robust and effective working relationship with the Heads of Service and Accountable Managers.


You will have experience in/of;
Experience of dealing with people at all levels

Experience of Local Government Working Practices

Line Management experience

Experience of taking accurate and detailed minutes in complex meetings

Proven experience of secretarial/administrative work

Experience of diary management and arranging meetings


Ideally you will have;
NVQ 3 in Business and Administration or equivalent, or equivalent experience.

Educated to Degree level or equivalent

Commitment to partake in training to improve knowledge, skills and practices.

Breadth of experience and appropriate training deemed to be commensurate with the post.
