The Role
The Team Assistant will join the admin team reporting into the EA and Operations Manager. You will provide both general and admin support to the business. The role will play a pivotal part in ensuring day-to-day office and facilities operations run smoothly. The role will work with many areas of the business including the People and Finance teams.

You will cover reception duties when the Lead Receptionist is away and will also deliver secretarial and administrative support to the Operating Board aligned with the individual's needs.

Some flexibility in working hours will be required.


Key Responsibilities**Reception Cover

  • To cover reception from and daily
  • Provide cover for the Lead Receptionist when on holiday
  • Assist with visitors, deliveries, post, ordering office stationery and office supplies, liaising with suppliers etc.
General administration

  • Work closely with the EA and Operations Manager to produce an office operations manual.
  • Lead the creation of a reception manual ensuring that all necessary information is captured and presented clearly and concisely.
  • Support the HR and DEI (Diversity Equity & Inclusion) team in the planning, preparation and hosting of events.
  • Taking an active role in the office refurb.
Team Assistant duties

  • Assist the OB with diary management.
  • Organise both internal and external meetings
  • Book travel, help wit expenses, track movement and additional duties where required
  • Provide cover when the EA and Operations Manager is on leave.

  • A friendly, approachable attitude
  • To be able to work with people at all levels.
  • Excellent admin skills
  • You will need to be able to follow instructions and work with little supervision.
  • Confident and not afraid to ask questions, raise concerns and make suggestions
  • Someone who can remain calm and kind when under pressure
  • Strong organisation and time management skills.
  • Previous experience of working on Reception and/or undertaking administrative tasks is preferred.
  • IT skills and knowledge of Office 365 are essential.
