Job purpose:
Providing administrative and coordination support to Projects Department
Roles and responsibilities
- Compile completed projects content and handover to service to notify warranty commencement
- Populate and maintain projects tracker list
- Attend PMs meetings and track actions content
- Liaise with European Projects Support and coordinate equipment delivery schedules and transport, including customs content. (Europe
- Spain, Italy)
- Raise small works on Tesseract and process all relevant information
- Maintain and update stock sheets with OEM updates, delivery schedules and track orders from subsuppliers.
- Arrange hire of equipment for site support works inc uplift and delivery
- Obtain transport quotes, organise deliveries and raise delivery notes. (UK)
- Coordination and filing of engineer's report sheets.
- Check disputed invoices, and amend POs accordingly.
- Collate Projects issues log information into a monthly report.
- Issue new supplier forms and return them to Finance once completed.
- Book accommodation and travel for project engineers
- Resolve timesheet queries for line managers
- Liaise with HQSA for health and safety communications, site visits and meetings with the Projects group
- Assist in the completion of security form approval for engineers
- Adhoc other duties as and when required to meet the needs of the business
- Comply with the Company Health & Safety Policy, including carrying out general housekeeping to ensure work areas are tidy. This includes company vehicles
- Comply with all aspects of the company's ISO standards: Quality management
- ISO 9001:2015 / Environmental
- ISO 14001: 2015 / Occupational health and safety management
- ISO 45001:2018, proactively contributing to the company's continuous improvement programme
- Adhoc other duties as and when required to meet the needs of the business
