Description

As team administrator, you will be in a unique position to support a dynamic group of clinical colleagues leading on pioneering research in our new research facility.

You will provide administrative support including welcoming research participants, co-ordinating the purchase of key resources, managing internal and external communications and helping to ensure the smooth running of the research setting.


  • To provide secretarial and administrative support including being the main point of contact for the Research Nurse team leader and other research colleagues
  • To monitor and manage key information
  • To monitor, with support from the team leader, the teams mandatory training completion.
  • To lead on the purchasing of resources via eprocurement and support with roster management
  • To undertake relevant health and safety audits and contribute to ensuring the unit is compliant with Infection control, Information Governance and other relevant policies
  • To ensure communication systems are in place and in working order and provide problem focused support to colleagues when required

About the location:


Our newly renovated research unit is located at 5 Windsor Walk at Denmark Hill less than 5 minutes from the train station (zone 2).

Key Responsibilities:


Administrative/Secretarial Support:


To be the main point of contact for the Team Manager and the Team, taking and passing on messages promptly.

Deal professionally with telephone enquiries, using initiative to take follow up actions when appropriate


To organise regular team business meetings and review meetings, taking and circulating minutes and agendas to members of the team.

Minute meetings as required.

To ensure administrative cover for annual leave/study leave.

To organise the repair and maintenance of all machines and to ensure that appropriate records are maintained.

To take part in the Directorate Administrators' Meetings where possible.

Undertake any other reasonable duties as negotiated with the Team Leader and Business Manager.

To work in accordance with the PMOA Directorate Administration Operational Policies.


Information/Performance Data:


To ensure that all Key Performance Indicator (KPI) information and data is inputted in a timely manner to ePJS, scanning and uploading documentation.

Ensure Trust data quality targets are maintained.


To maintain and/or create spreadsheets to capture required information and data in order to chart the progress of the Team and the work they undertake.

To pro-actively advise MDT members of gaps in information.


Training & Education:

To ensure that all required mandatory training is up to date.


To inform the Business Manager of all mandatory training completed by the team and keep the team training log regularly updated.

To record appraisal, PDP, Fire Training, core training and professional registration details for all staff in the team on eRostering, the Trust manpower reporting system, ensuring that MDT staff are informed of any gaps and information is gathered and inputted

Finances/Budgets:


Order and distribute stock and non-stock supplies for the team ensuring appropriate use of resources within budgetary guidelines and financial constraints.


To be responsible for completing eRostering for the team regularly throughout the month and ensure that this is checked and signed off by the Team Manager at the due date each month.


Health & Safety:


Where necessary to jointly undertake monthly Health & Safety Audits and assist in the production of Health and safety assessments and input on Assessnet where appropriate.

To escalate Health & Safety issues via the appropriate channels.

To undertake appropriate training to be the nominated Health & Safety Champion and Fire Warden for the Team.


To report and keep a record of all maintenance issues and requests and ensure timely completion, chasing if and when required.
