An exciting opportunity has arisen to work in the Business Support Unit based within the Clinical Engineering service.

As an Admin Support Officer you will work as part of a team to support the administration processes in Clinical Engineering.

You will promote the smooth and efficient performance of the services and make a direct, positive contribution to the work of the team.

Main duties of the job


You must be able to undertake general office duties and be confident in receiving telephone calls and dealing with staff and contractors face to face.

You must have previous administration experience and need to be able to log accurate requests on the Clinical Engineering equipment management database.

This role also entails working closely with the Medical Equipment Libraries and the Medical Equipment Service Units.

Previous experience of working in a hospital setting would be an advantage.

Clinical Engineering provides a comprehensive range of medical device services, delivered by a multidisciplinary workforce of engineers, scientists, technical, clinical and business support professionals.

The Clinical Engineering team has over a 100 members of staff. You will be working as part of the Business Support Unit, who form part of this Clinical Engineering service.

Detailed job description and main responsibilities

Daily work associated with the running of the Clinical Engineering Response Centre, Business Support Unit and Medical Equipment Planning Unit (MEPU) by:

Answering the customer services telephones, ensuring that queries are dealt with in a suitable manner depending on the nature of the call.

Retrieval and distribution of documentation, recording who it has been distributed to and on return refiling.

Undertake general office duties.

Undertake reception duties to support the MESU workshops and Medical Equipment Library.

Daily work associated with procurement and cross-charging.

Supporting general enquiries received via the MEPU mailbox and phone.

Chasing Medical Equipment Planning Group (MEPG) orders.

Raising service requests for approval requests made via the medical device approval request form.

Raising equipment planning service requests for confirmed orders.

Minute taking.

Various chasing.

Qualifications:

Essential criteria

  • Educated to GCSE equivalent with grade C or above in Maths & English
Desirable criteria

  • NVQ in Customer Service or Business Administration
Experience

Essential criteria

  • Experience of using bespoke databases.
  • Experience working in an office or reception environment
  • Ability to use Microsoft Office (Word, Excel, Outlook, etc.)
  • Experience of customer services
  • Can plan and prioritise own day to day work load
  • Strong administration skills
Desirable criteria

  • An overview or background in medical equipment
Communication and Relationship

  • Ability to clearly and accurately convey information in different formats
Analytical & Judgement Skills

  • Ability to use own initiative and make decisions

Salary:
The quoted salary will be on a pro rata basis for part time workers.
