Job summary

We are seeking a highly organized, discreet, and resourceful Executive Assistant to support the President of a growing international ocean-technology group.

Responsibilities

  • Organize board and committee meetings (in-person and virtual).
  • Draft and circulate notices, agendas, and supporting documents,
  • 'Own' portal for administrative control, tracking and approvals.
  • Record accurate minutes, track action points, and ensure timely follow-up.
  • Work with CFO to maintain official corporate records and statutory filings in line with legal and regulatory requirements.
  • Support board member onboarding, logistics, and communications.
  • Liaise with external counsel and advisors as required to ensure governance compliance.

Professional Support to President

  • Manage complex international calendar, meetings, and travel arrangements.
  • Act as primary gatekeeper for emails and communications — drafting responses, prioritizing, and filtering.
  • Prepare agendas, briefing notes, and materials for investor calls, strategy sessions, and conferences.
  • Coordinate logistics for key corporate events (e.g., investor roadshows, leadership meetings / events).
  • Maintain confidentiality and professionalism when handling sensitive financial, legal, or investor-related information.

Personal Assistance to President

  • A small amount of liaison relating to properties, logistics and personal/social matters

Glue

  • Anticipate needs and proactively resolve issues before they escalate.
  • Track open tasks and ensure follow-through.
  • Protect and optimize the President's time by removing administrative load.
  • Serve as a trusted buffer between the President and external demands on time/attention.
