Overview of the role


We are looking for a proactive and experienced Executive Assistant to support our Executive Vice President of Global Digital Distribution and here at Sony Pictures Entertainment (SPE) for a 12 month Maternity cover.

The role will also be supporting the wider central team ensuring the smooth running of the day to day operations.

The team is global focussed and will do well to have someone with experience organising meetings, events and travel across various global locations and time zones.

This group is also heavily external facing and this role with often be the first point of contact for clients and external partners.


Objectives

  • Support the EVP & VP primarily and provide additional support to the Central team members, as directed, to ensure that operations run efficiently on a daily basis.
  • Maintain and refine internal processes that support highranking executives companywide and coordinate internal and external resources to expedite workflows.
  • Manage communication with employees globally by liaising with internal and external executives on various projects and tasks.
  • Plan and orchestrate work to ensure that all priorities are met, organizational goals are achieved, and best practices are upheld.
  • Acting as the point of contact among executives, employees, clients and other external partners

What you'll do:


  • Manage professional scheduling for EVP & VP, including setting up meetings, Teams calls, travel, coffee /Lunch / & or dinner arrangement w/ clients.
  • Coordinate complex time zone scheduling and calendar management, as well as prepare, reconcile, and submit expense reports.
  • Manage Teams' executives' travel logistics including accommodations, transportation & logistics.
  • Provide administrative and office support, such as maintaining holiday calendars, contacts Outlook database for EVP & maintaining the org chart & Goals for the team.
  • Maintain professionalism and strict confidentiality with all materials.
  • Organize team communications and plan events, both internal and offsite

What you have:


  • Typically, five seven years of experience in an EA/PA role reporting directly to upper executive management.
  • Excellent written and verbal communication skills.
  • Strong timemanagement skills and an ability to organize and coordinate multiple concurrent projects & be knowledgeable with variant time zones.
  • Proficiency with MS Office, Outlook productivity tools and an aptitude for learning new software and systems.
  • Flexible team player, willing to adapt to changes and unafraid of challenges.
  • Ability to maintain confidentiality of information related to the company and its employees.

Preferred skills and qualifications

  • Experience in Concur systems for Travel & Expenses
  • Experience in SAP & ARIBA
