TERMS:
(8.30 am to 4.30 pm Monday to Friday (35 mins lunch)

Term time - 39 weeks (term time + inset days)

PURPOSE OF THE JOB


To provide a helpful, supportive and friendly service to students, visitors, staff and parents and to carry out various administrative tasks.


Liaison with:

The post-holder is expected to liaise with all members of staff within the Academy and other Trust members of staff who may be on site and students

KEY RESPONSIBILITIES AND ACCOUNTABILITIES

This list is not exhaustive, but includes:

PARTICULAR DUTIES

  • To be the first point of contact and deal with enquiries from parents, staff, pupils and LAB members both over the telephone and in person, to take clear precise messages where appropriate ensuring messages are passed on in a timely manner.
  • Ensure all visitors are greeted in a prompt, professional and welcoming manner dealing sensitively with a wide range of issues and liaise with appropriate staff.
  • Being able to deal with any conflict effectively; and with minimum fuss. ensuring the appropriate people are informed of any conflict which may happen
  • To sign in and assist in the recording of student sickness absence and lateness information into the BROMCOM database; Liaising with the absence officer at all times.
  • To ensure uniform checks on all students on entering the school via reception.
  • Signing students out ensuring the book is kept updated when students return. Checking evidence to ensure the student has permission to leave the school premises during school hours.
  • To ensure security procedures are adhered to by operating the various control mechanisms in place, checking of ID, issuing badges, and ensuring visitors sign in and out.
  • Keeping parents informed of school information /events as requested by members of staff via parent mail or telephone.
  • To be responsible for the general tidiness of the reception area. Update folders/ signage in reception (whole school letters, feedback correspondence from parents/visitors, etc.)
  • To undertake a range of admin duties including word processing, photocopying, filing, collation and distribution of documents, processing of correspondence and general clerical duties.
  • To clear answerphone messages left overnight.
  • To be responsible for the day to day maintenance of telephone system and franking machine.
  • Checking and ordering consumables ensuring vital stock does not run out, including adding funds to the franking machine.
  • To be responsible for the sorting and distributing of incoming post and the sending of outgoing post. To accept and sign for deliveries, recorded or special delivery items.
  • Accessing information to offer support to teachers for various things, including locating teachers, students, telephone numbers and contact details, using the Bromcom database.
  • To be responsible for printing and ensuring pupil registers are ready and available in case of an emergency by using the relevant School software. This should be printed 3 times a day.
  • In the event of an emergency to be responsible for clearing the reception area of any visitors and for taking the visitors, staff /students signing out books to the designated meeting place.
  • To assist in distributing the fire registers to all teachers to enable them to take the roll call to ensure the safety of the students.
  • To have a sound knowledge of using Microsoft Office and any other relevant software.
  • To call the oncall SLT member to go to requested classroom.
  • To provide hospitality for visitors as and when required.
  • To be a first aider
  • To be flexible and assist with other duties as and when required.

Supporting the School

  • To fully implement all school procedures and policies.
  • To participate in staff training days and external courses as may be required by the needs of the post and as identified by the Head of School/Head Teacher.


The duties above are neither exclusive nor exhaustive and the post-holder may be required by the CEO to carry out appropriate duties within the context of the job, skills and grade.
