M&E Pro are looking for a Operations Administrator to start immediately.

  • Provide administrative support to ensure efficient operation of the office & Site Engineers.
  • Answer and direct phone calls in a polite and professional manner
  • Organize and schedule appointments and meetings
  • Maintain contact lists and customer databases
  • Assist in HR matters
  • Assist in organising employee development and training
  • General Administrative duties
  • Source suppliers with most competitive prices
  • Maintain an inventory of PPE equipment, uniform, first aid supplies, stationary, ordering when necessary
  • Provide PPE when required
  • Carry out monthly checks on the first aid boxes and supplies
  • Ensure company insurances are current and up to date
  • Update and maintain current contractual information as required on inhouse systems
  • Reconcile and match purchase orders received with quotes issued, and approve/decline quotes accordingly
- management of calenders and appointment scheduling

  • Personal appointment and Scheduling with Director
  • Input quotation data onto system and send to client
  • Record all client correspondence on inhouse system, ensuring all are dealt with in a timely manner with the Contract Manager's assistance
  • Assist in scheduling works and maintaining their programme team to team
  • Produce inhouse purchase order requests
  • Oversight of field teams weekly timesheets
  • Produce monthly information and reports for clients and/or management.
  • Organise vehicle/machines repairs, services, MOT's and Tax with external suppliers
  • Liaise with clients and ensure a clear flow of communication inhouse as well as externally
  • Find ways to improve our service and customer relations
Skills Required

  • Strong organizational skills with the ability to prioritize tasks
  • Proficient in data entry and record keeping
  • Ability to type accurately and efficiently
  • Familiarity with office management procedures and basic accounting principles
  • Excellent computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Ability to take own initiative
  • Knowledge of clerical and administrative procedures
  • Professional phone etiquette and excellent verbal communication skills

Salary:
£23,000.00 per year
