The Engine House is a thriving Business Centre and creative hub in Thamesmead, Bexley, boasting more than 50 mixed size studios, extensive co-working zone and high-tech meeting rooms for start-ups, entrepreneurs and growing businesses.
Providing a safe, modern and welcoming environment, The Engine House supports the business community with a one stop fully serviced professional and friendly community.
The Engine House offers free car parking, has local bus routes close-by with Belvedere station a 15-minute walk and Abbey Wood station on the Elizabeth line, a little further.
As a receptionist you will be expected to be the first point of contact for existing members and potential new clients interested in joining the community.
This is a varied role ideally suited to a confident, out-going, personable individual who can demonstrate a strong passion for customer service, a flexible approach and ability to work on own initiative.
Key Responsibilities:
Reception and new enquiries
- Greeting and welcoming guests and directing visitors appropriately
- Answering, screening and forwarding incoming phone calls
- First line response to new enquiries using Customer Relationship Management software (training will be given)
- Organise and undertake centre tours for potential new businesses
- Coordinate and carry out administrative tasks associated with the flexible use of the Coworking space using ecommerce platform Shopify
- Managing incoming and outgoing mail
- Maintaining office security by following safety procedures and controlling access using tablet system
- Monitoring office supply stock and placing orders where necessary
- Managing ANPR car park system
- Booking and assisting with meeting rooms set ups
- Carrying out basic financial tasks on specialist software
- Monitoring and allocating tickets received through the online customer query system used by existing members to raise requests or queries
- Collating monthly data for management accounts (franking, printing, meeting room and enquiries)
- General assistance and guidance for visitors and existing members.
Centre community and events
- Lead the planning, promotion and delivery of a regular schedule of centre events.
- Actively create a strong business community by engaging with businesses, understanding common themes, linking businesses together where appropriate.
Personal specification
- Exceptional customer service skills, well organised, reliable and punctual.
- Friendly and confident individual with excellent written and spoken communication skills.
- Professional, flexible and proactive approach to work with drive and ownership of tasks
- Well organised.
- Willing to work collaboratively with others and show willingness to carry out other tasks to help the centre run smoothly.
- Able to link businesses together and build relationships.
Qualifications & Experience
- Previous experience of carrying out role of receptionist.
desirable - Knowledge of business centre or general office operations.
desirable - 5 or more A-C GCSEs or equivalent.
desirable - Knowledge of Customer management systems.
desirable - Event planner.
desirable - Basic knowledge of transactional banking and accounts.
desirable - Knowledge of sign in and visitor management software (preferably Inventry).
desirable - Qualified first aider and fire marshal or prepared to undertake training.
