Stores/Procurement Operational Support Officer

HMP Fosse Way - Leicestershire

Permanent, Full time, 40 hours

£22,500 rising to £23,000 after 12 months

Key Purpose:


Provide supervision of all stores related activities, this includes but is not limited to timely provision of stores across the contract, stock management, forecasting of usage and associated purchasing to ensure availability when required, ensuring all work is conducted in line with health and safety policies and legislation.

Ensuring goods are ordered in a timely fashion and any changes to operational requirements and/or change of goods supply are fully impact assessed and factored in to plans.

You will also be responsible for maintaining strong working relationships with key suppliers.


Key Accountabilities:
The following duties are provided as a general guide in relation to the requirements and objectives of this position. This person may also be required to undertake any other activities as required of this position. Specific performance requirements and expectations will be agreed in an annual performance review.

  • Responsible for the provision of appropriate and adequate volumes of goods to ensure daily operational delivery of the contract.
  • Ensure constant and clear communication is maintained with the stakeholders (internal and external) establishing a relationship built on confidence and trust.
  • Responsible for the maintenance of the supply stores stock levels ensuring the Catering & Stores Manager regularly of stock levels and risk management
  • Responsible for ensuring sufficient goods, uniform and PPE stocks are available to support the contract
  • Responsible for maintaining the computerbased stock control system and recording the movement of stock. Ensuring personnel are trained, current, competent, and qualified to use the system accurately.
  • Ensure the stores department complies with regulations for effective systems of Control of Substances Hazardous to Health (CoSHH) including maintaining a live register.
  • Completing Monthly Information Reports saving as a folder containing to ensure that all purchase orders, issues, goods receipting, discrepancy and loss reporting has been completed correctly in line with Serco policy and in line with delegated authority levels
  • Gather and collate information, providing critical insight into the usage rates across the site and linking in with SMT to inform them of key risks to delivery.
  • Place timely orders of goods in line with governance and financial approval.
  • Ensure Stores is remains organised so that stock is easily accessible, easily identified, and effectively stored.
  • Manage control measures to ensure mistakes, inaccuracies and discrepancies are highlighted, addressed, and resolved.
  • To be trained and competent in SAP, SRM & Guided buying.
  • To manage a company credit card and orders.
  • Assist with the maintenance of stock levels, rotation and the general upkeep of the stores.
  • Ensure that the correct form and issue note are used.
  • To assist staff with uniform requests.
  • Appropriately raise purchase orders in line with Serco policy and in line with delegated authority levels. Ensure relevant invoices are appropriately receipted
  • Ensure that all areas within the supply stores are clean, and tidy.
  • Discharge your responsibilities in terms of the Local Security Strategy (LSS).
  • Complete all relevant documentation to the required standard in a timely fashion, including incident reports, intelligence reports, and accident reports.
