The position of
Wedding and Events Assistant (currently part-time) has become available. An exceptional opportunity to work at a prestigious and well-known Wedding and Events venue based in Hampshire.


We are seeking an experienced co-ordinator to support The Resident Agent and Events Manager, to increase revenue opportunities and deliver exceptional hospitality to private and corporate clients throughout the year.

You must be well-organised, a team player with a real 'can-do' attitude. Communication skills and attention to detail are critical, with the ability to build strong relationships with clients and suppliers.

As part of the Events Team, you will work to drive business, project manage and plan events through to execution.


Our aim is to be recognized as one of the best venues not just in the county but in the country.

As the Wedding and Events Assistant, you will contribute to securing both repeat business and onboard new clients, deliver exceptional events that will in turn drive our core values and overarching business objectives.

Starting initially on 24 hours per week, to include on average two Saturdays per month; we hope to be able to extend to a full-time position within a year.

Expected salary to be in the region of £28,000 per annum pro rata.


Responsibilities:


  • To contribute to the daytoday operation of the Events department.
  • Carrying out venue viewings, convey the dream and inspire prospective clients as to why the venue is the perfect fit for their event.
  • To provide a high level of customer service across various touch points and meet the brand standard for all general and event enquiries.
  • Management of the Weddings and general Events Inboxes, replying to customers in a timely manner.
  • Handling of telephone enquiries for both Event and Enterprise group.
  • Take a positive approach towards upselling and confidentiality promote all that the venue offers to maximise revenue, to meet and exceed client expectations but also internal targets.
  • Positively impact the volume of repeat business.
  • Ability to communicate effectively with customers and staff at all levels and build rapport.
  • Own and work closely with clients to deliver their event.
  • Building Event planners, coordinate all activities for the delivery of the event, liaising with suppliers and overarching management of the event.
  • Liaise with all Estate departments on a daytoday basis, enabling all teams to work cohesively together.
  • To be able to act with initiative and forward plan for future events, being proactive in getting things done and exceeding expectations of both guests and colleagues where possible.
  • Involved with all aspects of reservations and events, from initial enquiry including site visits, issuing proposals and contracting clients through to invoicing and ownership of client feedback.
  • Perform other tasks at the level directed by your line manager in pursuit of the achievement of business goals.
  • Assist other departments where required in line with the business needs.
  • Have the desire to improve your knowledge and abilities through ongoing training and development.
  • Producing weekly plan of events and activities and conduct weekly Team meetings to review and discuss upcoming events.
  • Attend regular events meetings, producing accurate and timely reporting of event activity to stakeholders.
  • Compiling the appropriate reports, profit and loss of each event using software such as Microsoft Word and Excel, to assist with strategic decisions.
  • Ensure all client invoices are checked and sent in a timely manner, and where required prepayment has been received.
  • Support the Event Manager and The Resident Agent when required.
  • This role is suitable for someone who has previous experience in a similar role.

Requirements:


  • Proven experience as an events or project coordinator
  • Well organised and ability to manage and plan for multiple events simultaneously.
  • Proficient in Microsoft Office and Social Media platforms.
  • Excellent people skills.
  • Outstanding communication and negotiation ability.
  • Approachable with a 'can do' attitude no matter the challenge ahead.
  • Able to problem solve and confidently overcome unforeseen challenges in a calm manner.
  • Highly motivated, flexible and enthusiastic with a creative approach to deliver results and events.
  • Ability to work in a fastpaced environment.
  • Team player with great interpersonal skills to fit into a closeknit team.

Job Types:
Part-time, Permanent

Part-time hours: 24 per week


Salary:
£15,784.94-£28,000.00 per year
