Allocations Coordinator

Main purpose of job:

To arrange and manage counselling appointments for victims and survivors of sexual violence and child sexual abuse and monitor and manage CARA's counselling waiting lists.


Salary:
£24,496 - £26,845(NJC Scales per annum pro-rata, with 2023/24 pay rise pending


Contract Length:
Initially one year contract, however there may be potential to extend if funding is secured.


Hours:21, 28 or 35 hours per week


Place of work:
CARA premises in Colchester and some remote home working. Some travel to other locations in Essex may be necessary.


Holiday:25 days per year pro-rata, plus additional closure days between Christmas and New Year.

Overview
The post of Allocations Co-ordinator is a busy, fast-paced position that requires excellent organisational skills.

It involves supporting CARA's counselling team which is currently made up of 14 staff counsellors/therapists and 25 sessional counsellors who provide therapeutic support to CARA clients from premises across mid and north Essex.

The role will involve working alongside our existing Allocations co-ordinator to arrange and manage appointments, oversee CARA's counselling waiting lists and undertake general administrative tasks.

We are looking for someone with a problem-solving mindset who thrives in a busy, challenging and rewarding role.

CARA is growing and changing very quickly and we anticipate that this post will develop over time. We are looking for a forward thinking woman, who will be willing to adapt to a changing role.


The main responsibilities of the post holder are:

  • To contact clients to offer counselling appointments and to discuss their needs and availability.
  • To ensure all relevant appointment information is shared with the client and counsellor.
  • To respond to enquiries from clients asking about where they are on the CARA waiting list.
  • To keep CARA's waiting lists current, completing any closure paperwork for clients.
  • To monitor CARA's waiting lists to identify trends, levels of demand and problems.
  • To keep CARA's Service Development Manager, Head of Operations, CEO and staff informed about changes in waiting lists.
  • To ensure that all relevant sessional counsellor activities are recorded on the CARA database, checking against monthly invoices for accuracy.
  • To develop more efficient methods of logging data, providing support and training to other workers, if appropriate.
  • To review clients' database records and ensure they are kept uptodate.
  • To work with the counselling team to develop our systems for allocating available appointments to clients on CARA's waiting lists.
  • To undertake day to day administrative duties, as required.
  • To answer the office phone and deal with enquiries.
  • To attend regular team meetings and work with colleagues to further the objectives of CARA.
  • To adhere in full to all CARA's organisational policies and procedures, including safeguarding procedures.
  • To report to the Head of Operations, CEO and Trustees as required, including the production of regular written reports.
  • To be administratively selfservicing.
  • To undertake any other related activities as required by the Service Development Manager, Head of Operations, CEO or the Chair of the Board of Trustees.

About Synergy Essex
CARA is part of Synergy Essex - the Essex Rape and Sexual Abuse Partnership.

We work closely with South Essex-based SERICC and Southend-on-Sea Rape Crisis (SOS Rape Crisis) to deliver the contract for the Office for the Police, Fire and Crime Commissioner for Essex for services for victims and survivors of sexual violence and child sexual abuse across Essex.
