The Job


The primary function of the Fleet Coordinator is to manage a growing fleet of cars and vans and all associated activities.

It is of vital importance that our sales teams stay mobile to ensure we can meet the needs for our customers and their patients.

The Fleet Coordinator is a new and crucial role to support this goal and will have responsibility for the entire fleet.

A secondary part of this role is to provide general administration support for the Finance team. This will include maintenance of shared mailboxes and ad hoc support as required.


Duties and Responsibilities:


  • Coordinate all new car orders and manage expectations around lead times.
  • Accident management activities to expedite the process and allow drivers to get back on the road.
  • Handle all insurance claims from start to finish in conjunction with our insurance broker.
  • Complete all fines & penalties processes, including recharges to employees.
  • Maintain all fuel cards and provide fuel usage analysis.
  • Adding and removing vehicles on the motor insurance database.
  • Liaising with our 2 lease providers
  • Alphabet and JCT600.
  • Coordinate new car deliveries and collections of old vehicles.
  • Reviewing and approving all fleet related invoices and querying them where necessary.
  • Arranging hire vehicles.
  • Overseeing all repairs and maintenance needs as well as ensuring all cars have valid MOTs.
  • Point of contact for all drivers.
  • Managing company toll accounts.
  • Managing pool car bookings.
  • Adherence to all private and business mileage requirements including postings to SAP.
  • Prepare fines and deductions file for payroll.
  • P11D data management.
  • Query / review damage and repair invoices.
  • Oversee inspection of all leased and hired vehicles before being returned.
  • Driver licence checks.
  • Maintain fleet policy documents.
  • Liaise with our parent company, Arthrex GmbH.
  • Manage fleet mailbox.
  • Issue parking permit letters.
  • Help with forecasting/budgeting relating to fleet.
  • Ensure cost efficiency for fleet.
  • Manage dashcams and ensure relevant footage is being monitored.
  • Maintain and be responsible for fleet management software and data integrity.
  • Coordinate driver training as required.
  • Prepare monthly fleet review information and present to Finance Manager and Senior Accountant.
Involvement in the installation of new fleet management software will be required at the start of this role.


Education and Professional Experience:


  • Must have at least 5 years' experience in a similar role.

Specific requirements:


  • Experience of using fleet software.
  • Experience of installing fleet software an advantage.
  • Experience of using SAP an advantage.

Working Arrangements:


Please note that this is a full-time position (40 hours per week) working hours of 08:30 - 17:00, Monday to Friday. Flexibility is required. Hybrid working arrangement available.

Travel activity:
This role involves some occasional business travel between the two Arthrex sites (Sheffield and Solihull).


Compensation and benefits:

Competitive salary based on level of experience.
