JOB DESCRIPTION - Clerical Assistant for UCAS, Careers and Examination Advisor




REPORTING TO:
Deputy Head (Academic)





SALARY:
£20,000 - £24,000 based on experience

General Purpose


To provide administrative and clerical support for the Deputy Head (Academic) in the areas of Examinations, University Visits / admin, UCAS and careers.


Main Job Duties and Responsibilities

Examinations

  • To be responsible for all aspects of exam administration
  • To consult with the Examination Boards and the Deputy Head (Academic)
  • To consult with Subject Heads
  • To ensure students are entered for correct examinations
  • To produce timetables for students, staff, and invigilators
  • To administer Special Considerations and Appeals
  • To download exam results and provide data and reports for heads of department and SLT
  • To organise the issuing of exam results and exam certificates
  • To maintain the school calendar for all internal and external exams

University Visits

  • To liaise with the deputy Head Academic with regards to universities the college wishes to visit in the forthcoming academic year.
  • To then speak to the highlighted universities to organise dates which both parties are happy with.
  • Obtain a risk assessment from the Facilities Manager.
  • Obtain university and student / staff feedback after each trip and present findings and recommendations to the Deputy Head (Academic)

UCAS

  • Support tutors using Unifrog and UCAS.
  • Update the UCAS booklet for the year and advise all staff and students of appropriate dates.
  • Produce a onepage flyer at the start of each academic year to show the key dates for UCAS online registration, personal statements, university choices etc.
  • To build relationships with university so that the college can sign agreements to cover progression directly to their degree courses.

Alumni

  • To build a alumni database and contact all students.
  • Build a Facebook profile for the group with regular input.
  • Organise regular in country and in host country events for the group.
  • Organise / assist to organise the summer ball which will include the alumni.
  • Build an alumni newsletter, showing progression after St Andrews and current profiles.

Careers

  • To liaise with the college's careers contact
  • Organise at least one university fair in the college attend by key universities from a college perspective.
  • Ensure that the Career Mark accreditation is completed as required.
  • Bring into college key speakers to talk to the students from local Cambridge organisation, one per month (schedule to be circulated)

Generic

  • Checking and distributing documents and correspondence as required.
  • Maintaining filing systems, where applicable physical or online.
  • Photocopying.
  • Checking and entering data where applicable.
  • Updating and maintaining databases.
  • Coordinating workflow.
  • Filing.
  • Other duties and responsibilities, express and implied, which arise from the nature and character of the role and are commensurate with the grade of the post.

Education and Experience
