Working Hours:
Office working hours are flexible between 8.30am pm, Monday - Friday working 8.5 hours a day.

However, for this role the working hours will vary dependant on the needs of the business during the company's busy period of August & September which will include the requirement to work weekends.

Headquarters is located in Coventry City Centre with accommodation centres in Loughborough, Nottingham, Bristol, Exeter Leicester and Leeds.


JOB RESPONSIBILITES:


  • Manage all administration controls and systems and ensure they are in place and active. Looking at all current workflows and initiating procedures that ensure a smooth flow of activity from the start to the finish of each project.
  • Drawing and document control Assist in chasing and obtaining each set of drawings from each project (in priority order)
  • Ensure that all project documents and drawings are correctly and logically filed in shared central location(s) that can be accessed by the wider project teams. We currently use Procore software, as well as SharePoint & are looking into the use of Viewpoint.
  • Ensure that all documents and drawings in the shared location on Procore are the current and correct revisions.
  • Following internal review process for all drawings that are issued, ensuring that no drawings are published until they are reviewed and signed off by relevant personnel.
  • Manage access to the project shared central locations and project information throughout the duration of the project, adding or removing access as required.
  • Ensure that all project documentation is saved to the Data Room on completion, in readiness for future use in refinancing or sale of assets.
  • Develop an indepth understanding of all software used by the Developments team, such as Procore and SharePoint. Ensure that internal and external colleagues have the required access to the software.
  • Carry out training with internal and external new starters, covering all required processes and software.
  • Carry out training with internal and external colleagues if and when new software or processes are introduced.
  • Maintain a training log to track progress. Be on hand to carry out follow up training with colleagues as required.
  • Champion the use of our software and ensure that processes are followed by all users.
  • Carry out monitoring and control activities in order to track the progress of the project.
  • Ensure Insurance, RAMS and any other relevant documentation are obtained from suppliers and contractors and filed in a shared central location. Chase copies of renewal of said documentation when due.
  • Obtain permits and licenses from appropriate authorities.
  • Ensure adherence to all health and safety standards, collecting and assembling fire and H&S documentation from the start of the job through to handover with Operations
  • Oversee Site Diary via Procore, ensuring templates are set up correctly for the Site Management to complete. Ensure Site Diary is being completed as required and escalate any issues highlighted in the appropriate manner
  • Oversee Inspections via Procore ensuring templates are set up correctly for the Site Management to complete. Monitor progress against deadlines in conjunction with the Construction Director.
  • Oversee RFIs via Procore, ensuring that requests received are assigned to the appropriate colleague. Monitor progress and chase outstanding items as required.
  • Maximize the use of Procore tools, and drive usage with internal and external colleagues.
  • Put processes in place with Site Management to obtain meter readings at regular intervals.
  • Liaise with thirdparty consultant, and the Construction Manager, to collate information for production of CDM Health & Safety File, which is to be complete in time for project completion and handover to Operations.
  • Register new addresses with the local authority and Royal Mail, ensuring this process is fully completed well in advance of the building opening date.
