Description

We are looking for an enthusiastic, highly motivated person to provide a comprehensive, high quality, confidential, administrative and secretarial service to the Chief Pharmacist and pharmacy staff at Homerton Healthcare NHS Foundation Trust.

This role is central in enabling the effective and efficient running of the Pharmacy Department.

You will be a key member of the Pharmacy team, highly organised with a keen eye for detail and an ability to work on your own initiative


Main duties include:


  • To provide an efficient and responsive administrative and secretarial service, maintaining organised electronic and manual filing systems as well as undertaking general office duties.
  • To explore ways of modernising workflows and reducing paper based/manual processes and use best techniques in IT and best practice to ensure high quality management of information and administration systems are in place.
  • To be responsible for the upkeep of the personal files for all staff within the department.
  • To manage and maintain the HealthRoster database for the Pharmacy department keeping personnel working time records up to date by (a) liaising with HR as necessary to update staff annual leave entitlements, (b) assigning work shifts for all members of staff including bank and agency staff, (c) authorising staff annual leave in accordance with departmental procedures and (d) recording sickness, carer and other absences.
  • To be responsible for maintaining manual records of (a) 'time in lieu' for each member of staff and calculating their running balance of TOIL on a monthly basis, and (b) overtime worked by each member of staff and forwarding records to payroll on a monthly basis.
