Hours:
Mon - Fri 9.00 am - 5.30pm with shifts of 7.00 am pm and 10.30 am pm on a rota basis

May have flexibility surrounding the above hours at the discretion of the business need.


The Role:

The Operations Administrator is a varied role which will have responsibility for the smooth running of day day programmes.


Duties:


  • Liaising with various suppliers and external providers
  • Compiling information and monitoring changes to the programme
  • Checking client documentation
  • Providing support and information to external providers before, during and after events ensuring that their paperwork is correct and on time
  • Answering queries from the Contact Centre and clients regarding content and operational information
  • Assisting in the setting up of events and researching all included content, finding local suppliers and planning the daytoday operational itinerary
  • Keeping systems up to date with all information
  • Being proactive in maintaining the quality of service office
  • Assisting with health and safety checks to make sure requirements are met.

Immediately prior to, and during tours/cruises:

  • Contacting the management team to ensure all paperwork has been received and answering queries, advising of cancellations or alterations
  • Answering queries including transport enquiries and unexpected changes to itineraries
  • Dealing with daytoday issues and emergencies that arise
  • Proactively dealing with feedback from teams, including reading debriefs and discussing any issues that arose which could require action to be taken by the office
  • Respond to any issues raised, providing timely and concise feedback
  • Highly organised with strong attention to detail
  • An excellent communicator both written and verbal
  • Strong commitment to great customer service, in dealing with clients and suppliers
  • Comfortable working at a fast pace with the ability to prioritise conflicting demands
  • Resilient and able to work under pressure with tight deadlines
  • Solutions focused and able to take initiative to achieve satisfactory outcomes
  • Excellent problemsolving skills and able to think 'outside of the box'
  • Able to work autonomously and in a team
  • Excellent IT skills including MS Office, especially Word and Excel
