Widening Participation Administrator
The Widening Participation team is seeking to appoint a Widening Participation Administrator.

The post holder will provide effective and efficient administrative support and contribute to the success of the team and its associated projects.- The post is full-time (35 hours per week) open-ended and is available immediately.


Salary:

£21,197 - £23,144 per annum (Grade 3)- The role is based at McKenzie House in Cardiff city centre. The team work in the office on Monday and Tuesday and from home for the remainder of the week. However, there are regular occasions when the team are required to be on campus Wednesday to Friday (for example to support event delivery) so a flexible approach is required,-

Key Duties

  • Deal with a range of enquires from internal and external customers in a professional manner, establishing their requirements and adapting the standard responses accordingly.
  • Provide administrative support in the organisation of events and programmes that are delivered both on and off campus.
  • Collaborate with others in order to make recommendations for developments of established processes and procedures
  • Establish working relationships with key contacts to help improve service levels
  • Contribute to the success of the team, leading others through example, and supporting the Widening Participation Team and wider Communications and Marketing Department.

Specific Duties

  • Represent the University at oncampus events such as taster days, workshops, open days and summer schools.
  • Represent the university at events in schools and colleges
  • Undertake administrative tasks for the team, such as dealing with deliveries, liaising with the portering team, booking rooms and ordering catering.

General Duties

  • Ensure that an understanding of the importance of confidentiality is applied when undertaking all duties
  • Abide by University policies on Health and Safety and Equality and Diversity
  • Perform other duties occasionally which are not included above, but which will be consistent with the role
  • Flexible working is essential for this role, as there are often events taking place during evenings and weekends which the post holder will be required to support. Overnight stays are sometimes required as part of this role when supporting residential summer schools.

Person Specification

Essential Criteria

Qualifications and Education

  • NVQ 2/GCSE level A-C or equivalent
    Knowledge, Skills and Experience
  • Significant experience of working in an administrative or office environment using common office IT packages (e.g. MS Office, Excel)
  • 3. Proven organisation skills and a high level of attention to detail
  • 4. Ability to set up standard administrative systems and procedures
    Customer Service, Communication and Team Working
  • Ability to communicate effectively and professionally with a wide range of people, especially with individuals from under-represented groups (for example, care leavers, asylum seekers or people living in Communities First areas)
  • 6. Ability to work as an effective team member, providing advice and guidance to other team members where necessary
  • 7. Proven ability to deal with escalated requests for information or service, resolving customer issues where appropriate
    Planning, Analysis and Problem Solving
  • Ability to plan, prioritise and organise own workload within established time scales
  • 9. Ability to use initiative in solving problems and responding to queries ensuring compliance with standard procedures and practices in line with Cardiff University's data and compliance regulations.

  • A willingness to undertake further training and development
    Desirable Criteria
  • A-Levels or equivalent
  • 2. Experience of working in a Higher Education environment
  • 3. Fluency in Welsh, written and oral

A satisfactory Enhanced DBS check is required for this post.
It should also be noted that it will not normally be possible to take annual leave during Summer Schools (July), on undergraduate and postgraduate open days, and over A-level Results week
