Job Purpose


Run the day-to-day site activities which include co-ordinating the following services: post, cleaning, security, health and safety, inducting new starters, M&E contractors and front of house services.


Key Achievements & Responsibilities

  • Customer facing and dealing with staff and member space enquiries onsite.
  • Be the primary point of contact for all Birmingham workplace and FM functions within the Workplace team
  • Responsible for the onsite Workplace Management, Facilities Management and Helpdesk inbox, ensuring all requests are actioned in a timely manner, appropriately and effectively to deliver employee and member satisfaction and expectations
  • Complete and record daily building inspections, documenting and resolving any issues found and engaging appropriate vendors promptly
  • Adhere to agreed SLA's & KPI's for service delivery and customer satisfaction
  • Input to and administration of the Workplace budgets
  • Supervise site PPM schedule, ensuring all tasks are undertaken within the agreed timescales. Manage all reactive work requests, ensuring the appropriate, swift and costeffective resolution
  • Supervise thirdparty contractors and suppliers undertaking FM and Workplace work on site, ensuring all work is carried out in accordance with regulatory requirements and company standard operating procedures
  • Check and approve Risk Assessments and Method Statements (RAMS)
  • Induct new starters with building processes and office familiarisation
  • Develop a professional relationship with all facilities service providers by regular contractor/vendor meetings, ensuring agreed service commitments and KPI's are met and exceeded
  • Ensure value for money/added value is achieved in terms of quality, service and cost
  • Sort, collate and distribute all mail. Log and record all mail transactions on appropriate trackers
  • Cover for other roles within the team as required
  • Carry out other duties as required, including but not limited to, general porterage
  • Supervise security provision
  • Maintain effective relationship with the building management company and other tenants

Experience Required

  • Experience with PPM's and scheduling
  • Demonstrable experience in supplier contract performance and measurement
  • Good communication and able to work within a team
  • Have an understanding of hard and soft services
  • Working towards or obtained IWFM full membership
  • IOSH/ NEBOSH qualified
  • Team player with an enthusiastic attitude and proactive approach
