Trips Coordinator Job Description


Hours / Week:30-37 Hours per Week (Term Time plus 3 weeks including INSET)

Job Purpose

  • To be responsible for the administration and finances of both residential and day trips across the school.
  • To ensure that we meet the legal requirements with regard to the administration, health and safety and organisation of offsite and educational visits.
Key Areas of Responsibility

  • To liaise with trip leaders to ensure cost effective and compliant running of school trips across the school ensuring all key deadlines are met.
  • Assist trip leaders with organisation, booking transport, venues and accommodation as required.
  • To ensure that school trips are costed accurately and that they are cost effective for both parents and the school.
  • Draft and send parental communications regarding trips, liaising with the trip leader.
  • To monitor student payments and arrange and monitor payment plans where required.
  • To work with local charities/organisations and our Pupil Premium coordinator to offer financial support to ensure all students have access to the range of opportunities offered by KWS.
  • Collating and filing appropriate paperwork including submissions to Evolve and ensuring Risk Assessment and individual risk assessments are completed in a timely manner.
  • To be responsible for the travel packs (administration and medical) and other preparation for school trip leaders to take on the trip.
  • To be responsible for the financial reconciliation of school trips in a timely manner (6 weeks following return of trip) including accruals and prepayments for trips launched prior to year end.
  • To assist the School Business Manager with the organisation for the school's Activities Week offering.
  • To provide reports to the Business Manager on an annual basis giving details of trips, attendance and cost.
  • To become confident and familiar with the administration systems of the school ensuring effective and accurate communication with the school community.

Other Duties

  • To undertake regular morning break or lunch duty, supervising students in and around the school premises.
  • Attendance at appropriate staff training/meetings, parents' evenings, open days/evenings which may be outside of the core hours of the job.
  • Individuals have a responsibility for promoting and safeguarding the welfare of children and young people he/she is responsible for or comes into contact with.
  • To ensure all tasks are carried out with due regard to Health and Safety.
  • Comply with the requirements of GDPR and ensure confidentiality is maintained
  • To adhere to the school policy on equality and diversity.
  • To undertake appropriate professional development including adhering to the principle of performance management.
Knowledge, Experience and Training

  • Have experience of working in an office environment.
  • Have high levels of organisational skills and ability to prioritise own and others workload.
  • Be comfortable with working with numbers.
  • Have excellent IT skills, specifically knowledge of Excel.
  • Have excellent people skills and telephone manner.
